Overview

Job Title: Admissions Officer

Grade: G4

Salary: £25,878 - £27,319 per annum

Hours: 37 Hours per week

Department: Admissions

Reporting to: Head of Admissions

Purpose of Post: The role of Admissions Officer plays a key part in delivering an efficient, high‑quality admissions service across the University. The post‑holder will be responsible for processing applications for a range of University programmes and responding to enquiries relating to admissions procedures, ensuring applicants receive timely, accurate and supportive guidance throughout the admissions journey.

Working collaboratively with Programme Leaders and colleagues, the Admissions Officer will contribute to all aspects of the admissions process, helping to ensure it operates smoothly, consistently and in line with University policies and deadlines. A strong emphasis is placed on partnership working and excellent customer service. The post‑holder will also support the organisation and day‑to‑day operations of the Admissions Team and will undertake a range of additional duties within the wider Directorate of Recruitment, Marketing and Admissions, contributing to its work throughout the academic year. This role offers an opportunity to play a crucial part in shaping applicants’ first experience of the University and in upholding high standards of service and professionalism.

This role is based at Birmingham New University campus and requires the role holder to work wholly or predominantly on campus.


Responsibilities

* Receive applications for undergraduate and postgraduate programmes, direct and Department for Education (DfE) Direct and process accordingly in line with appropriate University policies.
* Take a lead role in considering (for approval on behalf of the University) recommendations made on individual applications.
* Plan and prepare in order to achieve and meet deadlines in accordance with UCAS, DfE Direct and those internally set for direct applications.
* Liaise with Faculties in order to understand special complexities and requirements for individual applications as appropriate.
* Make decisions and process applications in accordance with agreed entry requirements and refer to Faculties/Schools when required.
* Assess applicants’ eligibility to study within the UK, in accordance with Home Office regulations and UKCISA guidance.
* Arrange applicant interviews when appropriate and make any other special arrangements as required by School(s).
* Record all declared qualifications in line with student record protocols.
* Participate as required in university Open Days, training events, taster days and talks.
* Be aware of national developments in the field of university admissions, FE and HE bodies and ways in which that may affect their role.
* Be available to work during the period of Confirmation & Clearing (August each year).
* Be available to work additionally outside of normal working hours at certain peak times.
* Advise the Head of Admissions on operational matters, project outcomes, trends, and changes observed which may have more significant implications.
* Enter application decisions onto the system.
* Undertake special admissions projects as appropriate to enhance the service.
* Use their expertise and knowledge to support other areas of the Directorate as necessary.
* Work diligently, with a high attention to accuracy and careful interpretation of guidelines.
* Ensure compliance with Health & Safety and Data Protection Legislation.
* Process, manage and store ‘highly restricted information’ on a regular basis.
* Carry out duties in a resource‑efficient way, recognising the shared responsibility of minimising the university’s negative environmental impacts wherever possible.
* Respond to enquiries and queries from School(s), various external bodies, other offices and applicants, providing clear, supportive information and advice.


Health & Safety and Local Policies

* Under the Health & Safety at Work Act 1974 the post holder must take reasonable care of their own health and safety and that of any other person who may be affected by their acts or omissions. The post holder must also co‑operate with the University on all matters concerning health and safety and not interfere with, or misuse, anything provided for the purpose of health, safety or welfare. The post holder must follow Health & Safety requirements in line with their training and instruction, and report to management any unsafe acts or conditions, defects in equipment or facilities that have the potential to affect health and safety. The post holder must report to management any injuries they receive whilst at work.
* Where post holders in line management staff and services, they will be responsible for the health, safety and welfare of those staff and services in accordance with the University’s Health & Safety Organisational Arrangements.

The post holder must ensure that the confidentiality of personal data remains secure and that ‘restricted information’ or ‘highly restricted information’ to which they have access remains confidential during and after their employment. All staff must undergo appropriate data protection training as defined by the University’s Data Protection Policy and comply with the University’s Information Security Policy and IT User Policies including the General Conditions of use of Computing and Network Facilities, Bring Your Own Device Policy and Wireless Networking Policy.
* Safeguarding: All staff are required to act in a way that safeguards the health and wellbeing of children and vulnerable adults at all times. The post holder must be familiar with and adhere to safeguarding policies and guidance and participate in related mandatory/statutory training. Managers have a responsibility to ensure their team members understand their individual responsibilities with regard to safeguarding children and vulnerable adults.
* Appraisal and Training: All staff are required to participate in the University appraisal process and should ensure they are familiar with the process, attend mandatory training and plan time to prepare for their appraisal. Following appraisal, staff are expected to undertake any necessary learning and development and work towards the objectives that have been set. The University expects staff to attend any training designated as mandatory and to undertake learning and development activities to support their role.
* Absence and Working Arrangements: All absence from work must be reported in accordance with the University’s Absence Management Policy and recorded on iTrent. Staff are expected to be familiar with and follow the Policy. The University acknowledges its responsibility to provide a safe, smoke‑free environment and not to allow smoking on premises except in designated areas.
