A vacancy exists for a Senior Administration Clerk, based at Life Head Office, Dunkeld, reporting to the CIO. The successful candidate will provide administrative support and perform duties such as scheduling, general administration, expense submissions, supporting meetings and strategy sessions, writing correspondence, emailing, handling visitors, routing callers, and responding to inquiries.
Key Responsibilities
* Typing and formatting correspondence and documentation in MS Word
* Managing and maintaining an efficient filing system
* Screening calls and handling telephonic inquiries for executives
* Submitting requests via ServiceNow (incidents, devices, etc.)
* Creating and updating spreadsheets in MS Excel
* Designing and formatting presentations in MS PowerPoint
* Managing diaries and scheduling
* Arranging local and overseas travel, including visa applications
* Ordering stationery and office equipment within budget
* Organizing meetings: agenda, venue, technical equipment, and catering
* Welcoming guests and preparing meeting packs
* Monitoring budgets and expenses monthly
* Tracking expenditure against budget throughout the financial year
* Arranging conferences and functions
Requirements
* Matric certificate; secretarial diploma is advantageous
* Minimum of 5 years' executive secretarial experience supporting multiple executives
* Project management experience is an advantage
* Extensive knowledge of MS Office suite
