The Plastic Surgery Department at the Norfolk and Norwich University Hospital is looking for a motivated, organized and dedicated individual to join the Plastic Surgery Administration team as a Waiting List Coordinator.
As part of this busy and varied role, the successful candidate will provide waiting list management for the Plastic Surgery Department. This role relies on close working relationships between consultants, secretaries, ward staff, patients, Day Procedure Unit and general practitioners.
You will act as a central point of contact, supporting clinicians, managing sensitive enquiries, and ensuring timely and accurate administration of patient care. The role expects you to maintain all waiting lists accurately and perform tasks such as facilitating management of day case and outpatient diagnostic waiting lists.
Responsibilities
* To facilitate the management of day case and outpatient diagnostic waiting lists ensuring that the lists available are fully utilised. This involves cancelling and rearranging dates and contacting patients to convey news.
* To independently select patients from waiting lists, ensuring that the available lists are used to their fullest capacity.
* To select patients for Consultant diagnostic lists as requested by the individual Consultant according to agreed criteria.
* To work closely with Consultants, Secretaries, Technicians to ensure the smooth running of waiting lists and attendance processes.
* To be proficient in the use of PAS and Intellect, ensuring lists are available 6 weeks in advance and that clinical priorities are factored into the list order.
* To deal with telephone queries relating to attendances and information regarding waiting lists.
* To produce waiting list reports as required by the Operational Manager and Administration Manager.
* To investigate patients who do not attend to establish if they still require investigations and then take appropriate action in line with Trust policy.
* To ensure all procedures relating to waiting lists and deferred patients are adhered to in relation to the Patient Access Policy and Trust Policies & Procedures on data collection and confidentiality.
* To ensure waiting list information is updated where necessary and all patient contact is documented on the waiting list entry.
