Who are we?
Maison Estelle is a private members club set in a Grade I-listed Georgian townhouse on Grafton Street, Mayfair. A hosted home, bringing people together that have plenty to say and nothing to prove. A new school club (no rules), with old school values of personalised service and discretion.
As Events Coordinator you will be responsible for efficiently supporting in the planning of memorable events as part of our cultural programme for our members and also supporting the private hire team with admin tasks. You will be diligent, pro-active and communicate in detail to ensure the operational departments have the correct information to deliver an unforgettable guest experience.
As Events Coordinator you'll:
Prepare and manage running orders, ensuring all event information is communicated to relevant operational teams in a timely manner.
Maintain and update event calendars with accurate details.
Work with the Marketing & Communications team to meet newsletter deadlines and other event design briefs.
Upload event details and imagery to CRM systems (Peoplevine) and member portals.
Ensure smooth execution and a first-class member experience by being onsite during events.
Assist with "hero" events such as the Summer Party and the Christmas Fair.
Book external activations like florists and bands and manage supplier invoices.
Oversee guest lists using CRM guest list software (Zkipster).
Contribute to brand partnership presentations to enhance member events.
Support the private events team with organisation of events for members and brands

Some experience in event planning or cultural programming.

Flexible to travel between sites and work onsite during events.
