haysmacintyre is an award winning firm of chartered accountants and tax advisors, with 39 partners and over 500 staff, providing advice to entrepreneurs, fast-growing and owner-managed businesses, charities and not for profit organisations across the UK and internationally.
This role is an exciting opportunity to provide excellent administrative support to our busy tax teams. You will be supporting the teams in a very busy environment where confidentiality and a proactive approach is essential. You will work alongside others in similar roles to provide a professional and efficient service for the teams.
Being highly organised and enthusiastic, you will proactively undertake administrative duties to assist the busy tax teams. This support will help to free up the time of fee-earning staff who are focused on client facing work. At times you will need to work independently and be able to multi-task a number of tasks at any given time.
We are constantly looking for ways of working more efficiently so being able to bring new ideas to the team and challenge our current processes will be welcomed.
A brief outline of some of the duties is set out below (but is not exhaustive):
Administrative assistance for the tax teams, including:
* Client onboarding and anti-money laundering correspondence
* Arranging meetings and managing diary arrangements
* Drafting and editing reports including graphs and diagrams
* WIP reports, analysis, and billing
* Supporting department on marketing initiatives and requirements
* Communicating with HMRC
Client administration, including typing and formatting:
* Professional clearance letters
* HMRC correspondence
* Fee Protection Service correspondence
* CT61 letters
* Forms 64-8 etc
* Penalty appeals
* Distribution of department post
Tax systems data management (Alphatax/CCH):
* Updating portfolio allocation
* New client data entry
* Producing compliance reports/follow up reminders
* E-filing of tax returns
* iXBRL accounts for tagging
Tax Training Administration
* Creating, monitoring, and tracking attendance on tax training courses on the firm’s learning management system,
* Liaising with both internal and external training providers to facilitate tax training,
* Cultivating employee engagement for the tax training function,
* Assisting with the operation and organisation of both face to face and virtual tax training sessions, and
* Room booking & diary management

Work based competencies
* Knowledge of Microsoft Office packages including Word, Excel, Outlook, Internet
* Knowledge of Alphatax/CCH beneficial but not essential
* Training will be provided for departmental packages
