Band 3 Central Unplanned Community Nursing Team Administrator

The Team Administrator is an exciting role supporting Central Unplanned Community Nursing Teams with the administrative function that enable clinical care to be delivered in patient homes. The vacancy is for two full time posts working 37.5 hours over a 7 day rota which includes weekends and bank holidays (enhancements paid for weekend and bank holiday shifts). Current hours will be between 0800-1800.


Main duties of the job

To work closely with clinical staff utilising electronic patient systems to support management of urgent referrals and allocation of clinical visits.

To provide a comprehensive administrative support to the Integrated Multi-Disciplinary Team including typing of letters, minutes of meetings and other documentation.

Implement and maintain central filing systems for patient records, patient information, care plan documentation and staff documentation.Undertake office duties such as photocopying and replenishing information as required by the District Nurses.

Answer non-clinical queries from clients and their relatives seeking advice from the Nursing Staff.

Job responsibilities

To provide a comprehensive administrative support to the Team including typing of letters, minutes of meetings and other documentation. Use of systems including microsoft word, outlook and excel aswell as other NHS systems including RIO, ESR, CIF, Healthroster and stock ordering systems.

Undertake office duties such as photocopying and replenishing information as required by the team.

Answer non-clinical queries from clients and their relatives seeking advice from the Nursing Staff.

Part of the interview process will include an English and Maths Test.


Person Specification


Qualifications

* GCSE English Grade C or above or equivalent/or equivalent experience GCSE Maths Grade C or above or equivalent/or equivalent experience
* ECDL or equivalent IT qualification
* NVQ Level 3, Diploma or equivalent experience.


Experience

* Able to work to deadlines
* Experience of Microsoft Word, Excel and Outlook
* Previous experience of administration and clerical work
* Experience of filing systems


Skills

* Ability to communicate to a high level with a wide range of people
* Ability to use tact and diplomacy when dealing with service users who may be distressed, emotional and/or verbally aggressive
* Ability to handle people in a courteous and sensitive manner, taking into account individual needs
* Able to multitask, prioritise workload & use own initiative and good time management skills
* Understanding & commitment to equal opportunities
* High level written communication skills
* Understanding of the importance of confidentiality and the Data Protection Act
* Ability to set up and maintain filing systems
