Overview
UBIETY Technologies Limited is a spin-off from a well-established UKRI designated Emerging Technology Developer firm in Cambridgeshire. The company collaborates with leading research-intensive universities and international institutions. We are seeking a Personal Assistant to provide administrative support to the Managing Director & Technologist (MD&T) and act as a point of contact between the MD&T and clients.
Hours of work: 09:00–17:00, Monday to Friday
Salary: Up to £30,000 per annum (depending on experience)
Our current technologies focus on five key areas: flow metrology for decarbonisation in CCUS; medical imaging with portable, radiation-free technologies; real-time process monitoring using electromagnetic sensing; defence and security imaging with non-invasive tomographic tech; and digital-twins using ML/AI for PaaHW, PaaS, and SaaS products.
Responsibilities
* Be the first point of contact with people from inside and outside the organisation.
* Devise and maintain office systems, including data management and filing.
* Arrange travel, visas and accommodation.
* Screen phone calls, inquiries and requests, and handle them appropriately.
* Meet and greet visitors at all levels of seniority.
* Organise and maintain diaries and make appointments.
* Deal with incoming emails and post, and correspond on behalf of the MD if needed.
* Carry out background research and present findings.
* Produce documents, briefing papers, reports and presentations.
* Analyse and process staff expenses and company credit card expenditure; reconcile petty cash and provide expenditure details to the third-party accountant.
* Provide payroll details to the primary data input for the payment system; manage changes in salary/tax codes and address changes.
* Organise and attend meetings and ensure the manager is well prepared.
* Carry out regular stock checks and replenish stationery and other supplies.
* Liaise with clients, suppliers and other staff.
* Support additional duties as required within an R&D and Product Development environment.
Indicative activities
* Daily: Agenda management, setting up or rescheduling meetings; finance-related administration with the virtual finance office.
* Weekly/Monthly: Agenda and overview of outstanding items; SCRUM meetings coordination; purchase and review of stationery; coordinating process meetings; submitting timesheets; approving annual leave and absences; setting up payments; recruitment and interviews; personal expenses reconciliation.
* Other: Prepare, collect and submit timesheets; manage project-related administrative tasks for UBIETY SPRINTS board.
Qualifications
* Administrative experience and strong organizational skills as a Personal Assistant
* Proficiency in Microsoft Office and Google Suite
* Data entry and clerical experience
* Excellent phone etiquette and typing skills
Experience and environment
Experience in a work environment with an R&D and Product Development team of scientists and engineers is advantageous.
