Overview
A Vacancy at West Hertfordshire Teaching Hospitals NHS Trust. To provide administrative services and support to the Audiology and Hearing Therapy Departments at West Hertfordshire Hospitals.
Key Responsibilities
* Receiving referrals by email from a variety of sources (GPs, patients, ENT consultants, audiologists, wards, and other stakeholders) and deciding the most appropriate waiting‑list action.
* Assimilating referral information to determine suitable appointment types and providers, avoiding duplication of services.
* Deciding whether a patient has clinical priority and determining the nature of the appointment (e.g., Direct Referral, Reassessment, Hearing Therapy, Transition, Domiciliary, Fitting, Upgrade/Exchange, and choice of audiology, ENT, voluntary or paediatric input).
* Handling queries from patients and medical staff about the waiting list in writing, by telephone, email or post, and independently composing responses.
* Eliciting information from patients by telephone, evaluating previous contacts with the department, and determining appropriate outcomes.
* Adhering to Trust Waiting List Policy: managing partial booking procedures, rebooking cancellations, following up DNA’s, informing GPs of patient outcomes, and notifying GPs when patients are discharged.
* Advising patients about transport arrangements if required.
* Making appointments for patients in person, on the phone or by email, and rearranging appointments when necessary.
* Printing and posting appointment letters and correspondence.
* Checking, updating, and maintaining patient details in the Patient Management System.
Qualifications
* Knowledge of secretarial or administrative procedures and systems, including non‑routine tasks.
* Experience with task‑related problem solving and progress chasing.
* Strong communication skills in writing, telephone, and email.
* Work permit not available due to inability to obtain a Certificate of Sponsorship.
