This is a critical new role for a forward-thinking, proactive leader who can bring structure, pace, and accountability across both Customer Service and Accounts teams.

About the Role
The Office Operations Manager will oversee all day-to-day office functions, ensuring that calls, emails, and customer interactions are managed efficiently and effectively. While the admin tasks across departments are broadly similar, Credit Control and reporting require closer attention. The successful candidate will directly manage a small team of 3–4 office-based staff and take ownership of team supervision, data reporting, and proactive issue resolution across the office.
Key Responsibilities
Team Leadership & Accountability

Manage a team of 3–4 direct reports across Customer Service and Accounts
*
Supervise daily performance and ensure productivity
*
Set clear responsibilities and expectations
*
Monitor workload and outputs; address underperformance swiftly
*
Lead recruitment for all future office hires
Call & Email Oversight
*
Implement tracking systems for all incoming communication
*
Analyse call and email volume, response quality, and follow-up rates
*
Identify patterns and gaps in service; implement improvements
Proactive Issue Resolution
*
Identify issues before they escalate
*
Resolve problems swiftly and improve workflow speed
*
Stay closely connected to team and customer activity
Credit Control
*
Oversee credit control processes and aged debt
*
Ensure payment collection is prioritised and escalated appropriately
*
Basic understanding of finance/accounting required
CRM & Reporting
*
Ensure internal CRM is used correctly for follow-ups and job tracking
*
Provide clear reporting on customer satisfaction, job status, cancellations, and contracts
*
Use existing display screens (TVs) to show live data on calls, emails, and KPIs
Customer & Job Management
*
Ensure customers are informed of delays or changes
*
Oversee contract submission and job sign-off processes
Supplier Coordination
*
Liaise with suppliers to support office operations and resolve issues
Essential Skills & Experience
*
Strong experience managing office operations or administration teams
*
Proven ability to drive performance and accountability
*
Experience with Xero is highly desirable
*
Tech-savvy with strong CRM/reporting skills (system training provided)
*
Highly proactive, fast-paced, and solutions-focused mindset
