Finance & Manufacturing Operations Project Manager

VIP-SYSTEM LIMITED is the leading supplier of hire vehicle identification products in the UK, exclusively serving local authority and other licensing bodies. Since its establishment in 1991 as a subsidiary of the Dunhill & McGrouther Group, the company has been providing reliable solutions for producing hire vehicle plates, door signs, window stickers, driver badges, and other licensing security items. VIP-SYSTEM LIMITED is known for its high-quality products used by clients to produce these items in-house under supervision. The company has a long-standing reputation for excellence in the industry.

Purpose of the Role

This fixed-term position is designed to lead a time-bound project to establish and embed effective financial and manufacturing operational systems across the business. A key focus will be integrating raw materials ordering into our existing Sage 50 system, reviewing team responsibilities to ensure segregation of financial tasks, minimizing risk. Develop and embed clear frameworks for monitoring and reporting Cost of Goods Sold (COGS) and different types of stock. The project will deliver improved efficiency, accuracy, and cost control, while ensuring the current team is fully trained to manage and maintain the new processes independently.

This project will require working closely with our current highly efficient team, combining your expertise and utilizing their knowledge and experience to modernise systems.


Key Responsibilities and Expected Outcomes

* Lead the implementation of our raw materials ordering from a manual process into Sage 50.
* Analyse established ways of working and opportunity to introduce modern, sustainable systems and practices.
* Identify distinct financial tasks and recommend assigning to existing team members reducing risk by avoiding a single person from having complete control.
* Recommend and implement efficient ways to record different types of stock (raw, generic manufactured components, and bespoke client stock, either in Sage 50 or alternative systems).
* Develop and embed clear frameworks for monitoring and reporting Cost of Goods Sold (COGS) providing actionable insights to support commercial decision-making including pricing strategies.
* Provide supplier management insights including Supply Chain Risk Management (SCRM).
* Deliver training and coaching in person, through one-to-one or group sessions within the factory setting to the existing team that have a limited finance or computer system experience, ensuring they can confidently manage processes and systems.
* Produce comprehensive documentation and handover notes to ensure sustainability after the project concludes.
* Track project progress, identify risks and regularly report to senior management.
* Identify and recommend potential future improvement projects, such as product-time and motion studies, to inform longer-term operational efficiency.


Candidate Profile

The ideal candidate will be an experienced finance, manufacturing operations, or project management professional with a proven track record of implementing systems and processes in a small to medium-sized business environment. They will be skilled at project delivery, process improvement, and team training, particularly in relation to Sage 50 and COGS reporting.


Essential Experience & Skills

* Strong working knowledge of Sage 50, with experience implementing or expanding its functionality.
* Background in finance, management accounting, manufacturing operations, or project management with strong commercial awareness.
* Proven ability to manage projects from planning through to delivery, including process improvement and system implementation.
* Experience training and supporting non-finance/technical staff to operate new systems confidently.
* Excellent communication, documentation, and knowledge-transfer skills.
* Experience working with small family business and long serving team members.
* Knowledge of manufacturing, supply chain, or stock-controlled environments.
* Previous fixed-term or consultancy project experience.
* Strong analytical skills with the ability to translate data into actionable insights.


Expected Outcome

Successfully managed the project to time, scope, and quality, meeting all agreed objectives.


Terms

Fee/salary and working pattern (days and location) are negotiable, depending on experience, working style and availability. However, as this is a location-based business (Monday-Friday 8.45am-4.45pm), it is expected that a significant portion of the work will need to be carried out on site. To fully understand both the current operational processes and achieve successful implementation of a new system, on-site working with the current long-standing team is essential.
