Clerical Officer

An exciting opportunity has arisen to join the Metabolic Bone Disease Team within the Burns, Orthopaedics, Plastics and Limb Reconstruction Service at Sheffield Children's NHS Foundation Trust.

Main duties of the job

Reporting into the Burns, Orthopaedics, Plastics and Limb Reconstruction Team Leader, some of your responsibilities will include:

* Provide high-quality, comprehensive administrative and clerical support to the Metabolic Bone Disease Team within the Burns, Orthopaedics, Plastics and Limb Reconstruction Service.
* Support the wider Physiotherapy and Occupational Therapy Service with effective administrative processes.
* Act as the first point of contact for written and telephone enquiries to the department.
* Manage sensitive situations, including short-notice appointment cancellations and queries relating to waiting times.
* Use effective communication, de‑escalation and negotiation skills to resolve issues professionally and sensitively.

Person Specification


Qualifications and Training

* English language and Maths to Grade 4 at GCSE or equivalent.
* RQF level 2 in Business administration or equivalent.
* OCR Level 3 or equivalent qualification or equivalent experience.


Experience

* Experience of audio‑typing in a secretarial role.
* Experience of working in a customer‑focused environment.
* Experience of working with different computer software e.g. email, internet etc.
* Previous medical secretarial experience.
* Experience with NHS software systems.
* Experience of working with confidential material.


Knowledge and Skills

* Good time management skills with the ability to prioritise work according to deadlines.
* Able to work as a part of a team and under own initiative.
* Good verbal and written communication skills with team / clients / relatives using tact when required.
* High standard of accuracy.
* Ability to establish and maintain effective working relationships.
* Ability to deal with conflict.
* Knowledge of medical terminology.


Personal Attributes

* Adaptable to work independently and use own initiative.
* Attention to detail and accuracy.


Disclosure and Barring Service Check

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
