Executive Assistant to MD

Location: London

Closing Date: 17th November 2025


Overview

As the Executive Assistant to the Product Managing Director, you play a vital role in ensuring the smooth operation and strategic alignment of the Product division. You provide high‑level executive support, manage office administration and optimise the MD’s time so the MD can focus on key business priorities.


Responsibilities

* Owner of the MD diary – strategically coordinate and align the diary, prioritise requests and solve conflicts with minimal instruction.
* Integrate and synchronize personal commitments for the full year.
* Schedule and lead regular office meetings, review commitments and discharge actions.
* Use the calendar creatively to create reminders for tasks, leave, attendance and travel, and to store meeting papers.
* Co‑ordinate and manage all aspects of travel itinerary, including venue bookings, anticipating needs, ensuring cost‑effectiveness and compliance.
* Work with content owners to create meeting papers, briefings, and presentations.
* Analyse simple data, edit and prepare reports on behalf of the MD.
* Expert in Microsoft Word and PowerPoint to create and edit agendas, slides, briefing papers.
* Develop processes to manage email workflow, ensuring actionable emails are dealt with daily and tracked to completion.
* Respond to emails independently, delegating or seeking guidance as necessary.
* Use knowledge to negotiate or persuade stakeholders and maintain open relationships.
* Collaborate with peers across the business, shaping solutions to problems and setting high standards for quality of work.
* Coordinate people calls/webcasts/events with content owners, shaping agendas and ensuring engagement.
* Stay up to date on digital technology and applications, setting up Teams channels for collaboration.
* Become an advocate for new technologies, providing training and best practice.
* Serve as the primary point of contact and gatekeeper for office and virtual office calls and visitors.
* Ensure compliance with safety, security, ethics, and BT processes and policies, demonstrating financial awareness for business requests.
* Deliver special projects and ad‑hoc administration tasks, including preparing and analysing reports, solving simple IT problems, and improving office processes.
* Assist with onboarding new team members, creating reusable guides and attending meetings to take notes and chase actions.

* Communication – expert level written and verbal communication, persuasiveness across all stakeholder levels, simplifying technical information.
* Flexibility – provide business support as required, including travel to other UK sites.
* Knowledge of internal systems – expert level understanding of BT’s systems.
* Active learner – quickly learn and apply new knowledge, commit to continuous development.
* Governance and compliance – evaluate and quantify the impact of legal and regulatory risks, applying internal and external standards.


Experience

* Significant EA or PA experience in dynamic business environments.
* Expertise in managing complex diaries and travel itineraries efficiently.
* Ability to manage multiple tasks and deliver high‑quality work consistently.
* Track record of handling sensitive strategic and commercial matters with utmost trust and confidentiality.
* Effective negotiation skills to manage stakeholder expectations and prioritisation.
