This role involves a wide range of operations, administrative and organisational functions, ensuring a strong relationship between investment manager and client.
Key Areas of Responsibility:
1. Assisting in the provision of a full range of administrative services for the team.
2. Processing outgoing/incoming DX and Royal Mail.
3. Answering the telephone, transferring calls, taking messages, and recording telephone notes on client files.
4. Completing dictation transcriptions.
5. Scanning, shredding, and photocopying documentation when required.
6. Preparing and providing IMs with requisite documents for meetings.
7. Preparing meeting refreshments, including greeting clients upon arrival.
8. Ensuring valuations are produced and dispatched to clients within regulatory timescales.
9. Maintaining personal compliance with all regulatory issues and promoting a compliance culture within your department.
10. Identifying ways to improve efficiencies.
11. Assisting in opening and maintaining client accounts, including obtaining AML documentation.
12. Keeping client information up to date and assisting in producing client suitability reports, possibly communicating directly with clients and intermediaries.
13. Following the progress of new investments and resolving any issues that arise.
14. Liaising with the accounts department over cash movements and administering payments, including currency payments.
15. Setting up, closing, and managing client files, ensuring all information is current and accurate.
16. Ensuring adherence to compliance regulations.
17. Following up on new client connections to ensure forms are completed and processed.
18. Managing occasional special projects, such as collecting KYC information.
19. Assisting with probate valuations and sales.
20. Depending on qualifications and experience: assisting with client report preparation, providing input for recommendations, implementing transactions, CGT calculations, and valuations history, including XO dealing as instructed.
21. Responding to corporate actions, including notifying clients.
22. Preparing documentation for potential new clients for IMs.
23. Providing IMs with MI to support client suitability processing.
Qualifications & Experience:
* Educated to GCSE level or equivalent, including Maths and English; A-Levels preferred.
* Industry-recognized qualification such as an Investment Operations Certificate is advantageous for IP1 and essential for IP2.
* Experience in a similar environment and a general understanding of the stock market and investment operations are preferable.
