An exciting opportunity has arisen for a reliable and enthusiastic individual with a high standard of organisational skills to provide an efficient administrative service to the Infectious Diseases and Medical Virology department.
This role is office based at Southmead Hospital.
Working pattern options include 08:00‑16:00, 08:30‑16:30 or 09:00‑17:00. Working Wednesday‑Friday is non‑negotiable, with flexibility for remaining hours on Monday or Tuesday, or split over the two days.
Main Duties
The post holder must possess excellent computer and communication skills, be a team player, and have the initiative to manage changing workloads under pressure.
Previous administrative experience and knowledge of medical terminology are essential.
Key Responsibilities
Provide exceptional administrative support to a large number of specialty clinics, ensuring accurate, timely processing of clinic letters, correct document layout, and meticulous proofreading to maintain professionalism.
Process patient correspondence systematically, entering data into electronic patient record systems.
Book appointments, liaise with patients and healthcare professionals, and provide cross‑cover for other members of the administration team to ensure smooth operation of the department.
Person Specification
Knowledge / Skills / Abilities (Essential criteria)
* Competence in preparing and sorting documentation, checking layout and content of correspondence for self and clinicians.
* Exceptional formatting skills, able to process large amounts of correspondence quickly and accurately.
* Strong organisational and prioritisation skills.
* Ability to work to tight deadlines and under pressure.
* Can work independently and independently initiate tasks while knowing when to seek guidance.
* Understanding of routine timing (RTT) knowledge and willingness to undertake refresher training.
Work Experience (Essential criteria)
* Experience of administrative and clerical practices and processes.
* Extensive knowledge of Microsoft Word and Outlook.
* Experience using a computerised patient administration system or company database; willingness to learn new IT skills and technology.
Desirable Experience
* Minimum two years secretarial or administrative experience in an office environment.
* Experience working in the NHS or another patient/customer focused environment.
* Knowledge of audio typing or digital dictation an advantage.
* Experience with Excel spreadsheets.
Education / Training / Qualifications (Essential criteria)
* Minimum three GCSE/O’Level qualifications, including English Language and Mathematics.
* RSA or equivalent typing qualification or demonstrated extensive experience and skills.
Desirable Education
* Knowledge of medical terminology.

* Produce work of an accurate and high standard.
* Very good written skills, including good English grammar, for proofreading typed content.
* Very good verbal communication skills, articulate, helpful and confident in dealing with people face‑to‑face and over the telephone.

* Professional, courteous, and positive approach.
* Understands importance of confidentiality and data protection in a hospital environment.
* Maintains very good time‑keeping and attendance record.

The successful applicant will commence at the minimum band unless they have previous NHS service at the same band. Progression through the band is by annual increments.
