Steventon House Hotel is an 18-bedroom boutique hotel with beautiful gardens, flexible event spaces and an on-site restaurant.
We are strengthening our operational structure and are looking for a highly organised, detail-focused Reception & Administration Coordinator to ensure enquiries, bookings and internal systems are managed professionally and efficiently.
This is a key support role within a small team and requires strong organisation, written communication and attention to detail.
The Role
You will be responsible for managing reservations, small event & restaurant enquiries, administration and daily financial reconciliation, while supporting management with operational coordination.
You will report directly to the owner and play an important role in improving structure, response times and organisation across the business.
Key Responsibilities Reservations & Guest Communication
* Manage room, restaurant and small event bookings (phone, email & online platforms)
* Monitor and respond promptly to, Expedia and website enquiries
* Ensure all reservations are accurately recorded and updated
* Keep inboxes organised and cleared daily
* Send event information to prospective clients
* Respond to online reviews professionally and promptly
Small Events & Proposals
* Prepare and send proposals for private dining, birthdays and smaller events
* Follow up enquiries to confirm receipt and encourage next steps
* Support coordination of smaller bookings
* Assist with arranging and supporting show rounds for prospective clients
Management & Coordination Support
* Assist with the management inbox to ensure timely responses
* Obtain supplier quotes and coordinate maintenance appointments
* Track ongoing operational tasks to ensure completion
* Maintain organised digital and paper filing systems
* Coordinate supplier visits and maintenance schedules
Financial & Administrative Control
* Complete daily cashing up and reconcile POS reports with card and cash totals
* Record and report discrepancies promptly
* Maintain organised invoice and financial paperwork
* Send invoices to guests
Essential Requirements
* Excellent written and spoken English
* Strong organisational skills and attention to detail
* Professional and confident communication style
* Confident using booking systems, email platforms and online portals
* Comfortable working with spreadsheets and digital filing systems
* Quick to learn new software and systems
* Able to manage time independently and prioritise tasks
* Reliable, proactive and structured in approach
Previous hospitality, reservations or administration experience preferred but not essential.

Typical hours: 10:00am – 5:00pm (some flexibility required)
£13.50 – £14.00 per hour (dependent on experience)
