Ajyal Foundation is seeking to hire a part time Operations Coordinator to oversee daily operations of the organisation, including coordination between the activities and schedules of Ajyal’s teams, support for financial planning and reporting, and development and maintenance of the operational procedures of the organisation.

The Operations Coordinator will oversee the charity’s day-to-day running, ensuring smooth internal processes and supporting the team to deliver our programmes efficiently and effectively. This is a key role with a hands-on remit—ideal for someone who enjoys variety and making things happen in a values-driven organisation.


The Operations Coordinator will ensure that Ajyal complies with all legal and regulatory duties through sound management and strong planning, underpinned by progressive systems, policies and procedures. The role will contribute to operational and strategic planning processes and will take responsibility for embedding a high performing culture in a healthy, driven and motivated workforce. The operations coordinator will work with senior management to achieve Foundation’s targets and objectives and ensure its sustainability and continued growth.


The role will focus on developing and managing operations processes, overseeing guidelines and policies that help us achieve our vision and goals, including contract management, data management and human resources (working alongside our outsourced HR), providing advice to colleagues and making recommendations to improve systems and policies.


During the war on Gaza, Ajyal has supported tens of thousands of children through psychosocial activities and urgent essentials. You will be working in a fast-paced environment as part of a small, tight-knit team that’s working to develop and deliver emergency and post-war interventions in cooperation with our partner organisation to support the education and mental welfare of children in Gaza, the West Bank, and other refugee communities.


Key Duties and Responsibilities


* Oversee daily operations of the organisation, including coordination between the activities and schedules of Ajyal’s teams, support for financial planning and reporting,
* Oversee and support the efforts and use of resources of each of Ajyal’s teams.
* Maintain links between all teams and support the work of the Foundation’s teams when needed.
* Support senior management’s work including the CEO and Financial Manager.
* Support the Foundations’ events and campaigns.
* Manage and track resource allocation to improve the organisation’s efficiency, productivity and financial management.
* Implement operational procedures that support sustainability of the Foundation and its growth.
* Ensure compliance with and adherence to policies, laws, and regulations.


Experience, Skills, and Knowledge


Essential:

* Proven experience in operations, office management, or similar roles—ideally in the charity or not-for-profit sector.
* Experience in strategic planning.
* Strong organisational and project management skills.
* Knowledge and experience in bookkeeping, budgeting and financial management and reporting.
* Comfortable working independently and across multiple functions.
* Ability to work and collaborate in a fast-paced environment across a range of cultural contexts and varied teams.
* Flexibility and ability to adapt to working within an emergency setting.
* Good understanding of finance, HR, and charity governance requirements.
* Excellent written and verbal communication skills.
* Strong IT literacy (Microsoft Suite).
* Knowledge of UK charity law and GDPR.
* Agility and ability to pivot and work in a fast-paced working environment.
* Strong understanding of the root issues affecting the communities that the Foundation strives to support.


Desirable:

* Experience working with Senior Management Teams
* Familiarity with fundraising processes, CRM systems, or grant reporting.
* Working knowledge of Arabic.
