Contract Type: 12month fixedterm contract with potential to become permanent

Location: Paladone Head Office (Shoreham By Sea)

Working Pattern: Hybrid working with a minimum of 3 days per week in the office

The opportunity:


We are looking for a Vendor Compliance Coordinator to join our Global Vendor Compliance Team.

The role reports to the Head of Global Vendor Compliance & Sustainability and plays a vital part in supporting ethical sourcing, technical compliance and quality assurance across our global supply base.



What are key duties of the role?


Factory Compliance & Product Quality

* Maintain accurate and up-to-date compliance, quality assurance, and audit documentation across internal systems, and customers/licensor portals.
* Review and validate supplier certifications, audits, and performance status. Identify gaps and drive corrective action with factories.
* Support risk assessment activities, highlighting issues in advance of production or approvals.
* Monitor and interpret compliance and QA KPIs, identifying trends, recurring non conformances, and opportunities for improvement.

System & Process Improvement

* Work with other departments to ensure vendor compliance requirements are understood and followed.
* Work with the Head of Global Vendor Compliance & Sustainability to implement system and process enhancements that drive smarter working practices and transparency.

Supplier Engagement & Performance Improvement

* Liaise with suppliers and factories to ensure effective communication and timely resolution of issues.
* Support supplier capability building on compliance, traceability, and licensor/customer expectations.

Factory Approvals by Customers & Licensors

* Coordinate the full factory approval process for designated customer accounts, ensuring all audit criteria and critical path timelines are met.
* Communicate approval progress clearly and promptly with internal stakeholders, customers, licensors, and suppliers.
* Ensure all licensor required documentation is completed by relevant teams and submitted on time to secure factory approvals and prevent shipping delays.

Issue Resolution & Escalation Support

* Support investigations into customer complaints. Verify corrective and preventive actions with suppliers and internal teams.
* Monitor incoming goods inspection, stock QC, and transit test, escalating any concerns to the Head of Global Vendor Compliance & Sustainability.

Sustainability & Traceability

* Assist in initiatives related to raw material control, upstream supplier visibility, and responsible sourcing controls.
* Participate in traceability projects, supporting the rollout of systems and processes aligned with customer and licensor expectations



What we need you to bring to the team:

* Proven experience in vendor, supplier and factory compliance within a global manufacturing or sourcing environment ( 3 years +)
* Handson experience dealing with product and factory compliance across Asia (e.g. China, Vietnam, Cambodia or similar regions)
* Strong understanding of ethical sourcing, quality assurance, audit processes and regulatory requirements
* Experience liaising directly with overseas suppliers and factories to manage audits, corrective actions and compliance documentation
* Confident managing risk, escalating noncompliance issues and supporting corrective action plans
* Strong document control skills, including experience reviewing compliance documentation and supplier records
* Excellent written and verbal communication skills, with the ability to work across cultures and time zones
* Highly organised with strong attention to detail and the ability to manage multiple priorities
* Proficient in Microsoft Office (particularly Excel) and familiar with compliance systems such as SEDEX, Navision or similar
* Ability to build effective working relationships internally and externally
