The People Coordinator will provide accurate, timely and high-quality HR administrative, systems and operational support across the UK, Ireland and Norway. The role is responsible for maintaining HR systems, protecting data quality and supporting employee lifecycle processes in line with GDPR and relevant local employment legislation.

About the Role
HR Systems & Digital Enablement
Manage and maintain the HRIS (CIPHR), ensuring employee records are accurate, complete and updated in a timely manner.
Support continuous improvement of HR systems, workflows and digital People processes.
Maintain electronic personnel files in line with GDPR, data retention and internal governance requirements.
Produce HR reports and dashboards to support People Team activity and business decision-making.
Recruitment Administration
Manage and maintain job board postings, ensuring vacancies are accurate and regularly updated.
Conduct screening calls for shortlisted candidates and coordinate interview scheduling.
Liaise with recruitment agencies where external support is required.
Payroll, Benefits & Reward Support
Collate, validate and submit accurate payroll data, including starters, leavers, contractual changes and absence information.
Prepare and submit pension and benefits data to relevant providers.
Support annual benefits renewals and salary/bonus review processes through accurate data preparation and system updates.
Administer recognition processes such as long service awards and spot awards.
Training & Development Administration
Maintain training records and compliance training trackers within the HRIS.
Coordinate training administration, course bookings and related communications.
Employee Wellbeing & Engagement
Support wellbeing initiatives and internal engagement activities.
Participate in the Charity Committee and, once trained, act as a Mental Health First Aider.
General People Team Support
Provide general administrative support to the People Team across the UK, Ireland and Norway.
Monitor and manage the HR inbox, respond to routine queries and escalate more complex matters to People Partners as appropriate.
Support employee relations administration, ensuring records and documentation are complete, accurate and audit-ready.

Requirements
High level of IT literacy, including confident use of Excel, Word, PowerPoint and digital systems.
Ability to manage competing priorities in a fast-paced environment.
Experience using HRIS and ATS platforms, such as CIPHR, Occy or similar systems.
Part-qualified CIPD, or a willingness and interest in pursuing CIPD qualifications.
