Are you an experienced Administrator looking for a new challenge? We are looking for a proactive and motivated individual who enjoys working in a busy environment and would like to be part of a dynamic Audiology Team. You will be working 36 hours a week 08:00 – 17:30 over 4 weekdays and be based at Royal Preston Hospital.

Our Business Support Officers provide a professional and comprehensive Reception and administrative service within the Audiology Department and assist in the smooth running of the service. They support Audiologists by ensuring the efficient channelling of communication between our patients, relatives, clinical staff, GPs and departments. You will be part of this team helping to improve our patients’ experiences and reduce our waiting lists for treatment.

You will have excellent organisational and communication skills, be confident in IT systems, be flexible in your approach, be able to exercise initiative and demonstrate a consistently high standard of professionalism, confidentiality and integrity.

Main duties of the job

Within the Surgery Directorate, we really value our Business Support Officers, they play an important role in the day to day running of our Audiology Services, making sure that patient care is at the forefront of all we do.

This is a very busy and varied role; no day is ever the same. On a typical day you will undertake various Reception and administrative duties, have regular contact with hearing impaired patients, often Elderly, and all members of the Team, as well as ensuring the smooth running of the Audiology Department, making sure our patients get the best possible care.

Detailed job description and main responsibilities

·Demonstrate a helpful and effective style of communication and constructively manage barriers to effective communication when dealing with clients, visitors and health professionals.

·Be a point of contact for all day to day enquires to the Adult Audiology Department, referring where necessary to more senior staff.

·Assist with the maintenance of stock levels, including inputting hearing aid stock onto the departmental database and allocating aids to clients.

·Maintain an efficient mailing system within the department.

·Referrals to the Audiology department are scanned in and stored on the Trust’s Intranet.

·Patient Information is uploaded to appropriate Patient Information Systems as required.

·Process ear moulds for hearing aid patients in a timely manner ensuring that they are posted for processing and returns logged into the department’s Patient Management System accurately.

·Ear mould manufacturer invoices are collated and checked.

·Act as point of contact for the department with the ear mould manufacturer.

·Post out appointments and patient leaflets in a timely manner as requested by Audiology Team members.

·Arrange Interpreters when required.

·Input patient data onto the department’s databases and Trust systems as required.

·Take an active part in Team meetings and audits as required.

·Liaise with the Newborn Hearing Screening Team to book appointments.

·Liaise with other Audiology Departments to request transfer of patient details.

·Assist in the training of Administration staff, including training in the use of departmental databases.

Person specification

Knowledge & Experience

Essential criteria

1. Experience of dealing with the general public
2. Significant previous administration experience
3. Aware of the concept and application of confidentiality
4. Efficient in the use of Microsoft Office 365 (Word, Excel, Outlook, SharePoint and Internet)

Desirable criteria

5. Experience of communicating with the Elderly / with hearing impaired
6. Experience of AuditBase (Departmental Database software)

Qualifications and Education

Essential criteria

7. GCSE English and Maths grade 3 or above

Desirable criteria

8. Other relevant qualification eg ECDL
