This is one of the most exciting roles in London at the moment, you will be working for a high profile business and individual as part of their Private office.If you are currently the go to guru for a large building with multiple tenants, making sure its all compliant, managing all systems and processes with an incredible eye for detail, leading and delivering all capital works and in the most organised and efficient way - we would love to speak to you.
You will be responsible for the flagship London Head Quarters, a large building soon to start undergoing a very large and exciting renovation.The building is home to a number of businesses, therefore multiple tenant and stakeholder management will be a really important skillset to have as a superpower, you will be the go-to person for all things operational and building related - anything from tenants, security, fit-out projects and general day to day building management.
This is a hands-on leadership role and you need to be someone that is genuinely excited about the opportunity to build and manage what is the "engine room" for an incredible business.
Key responsibilities:
* From day 1 you will be the go to person for all things facilities and building related. You will build a world class team that will ensure a high functioning global headquarters is maintained and operating effectively and efficiently on a daily basis at a very high level of standard across multiple businesses.
* This includes hard and soft services, utilities, waste management, service charge reconciliation, business rates and supplier management including procurement and contract managementYou will be responsible for delivering a world class Front of House environment, ensuring reception is managed seamlessly.
* The environment of the office also needs to be held to exceptional standards including cleanliness, presentation, security and an impeccable presentation at all times for all that are there including employees, visitors (including VIPs) and partners.
* You will resolve and lead on all day to day issues related to the building operations and any other areas you feel you might have expertise with regards to facilities, ensuring minimal disruption and offering solutions that are found quickly
* Manage new tenants including licensing agreements, subleases and onboardingEnsure all core building systems are maintained and working safely and effectively including CCTV, alarms, HVAC etc managing
* Maintenance schedules will be your responsibility, implement and manage including internal logging tools to track requests, SLAs and compliance
* Health & Safety standards are all met as well as monitor all regulatory requirements ensuring accurate data and documentation is kept for audits and inspections
* Risk reports and regular performance updates to the leadership team
* Seek opportunity and drive cost reduction efforts delivering commercial value
* Lead major infrastructure projects through the coordination of external contractors, designers, AV and IT teams, and internal stakeholders, ensuring projects are delivered on time, on budget and exceptional standards
* Own all facilities-related budgets including day-to-day operating costs and long-term capital investments, tracking spending, forecasting future needs, identifying savings
* Areas are available for event hire, therefore you will be responsible for handling enquiries, pricing, contracts and logistics related to bookings, ensuring seamless operational delivery along with the Office Manager and other internal and external stakeholders

* You are a perfectionist with high standards and organisation, and can manage internal and external relationships with confidence and professionalism.
* Familiar with GDPR, ICO, H&S, and cyber compliance and able to lead implementation, training, and audits.
