Job Title: Executive Assistant to Board & Company Secretariat (Highly Corporate role) Location: London (please note this is not a 9-5pm job, need to be comfortable to work different hours and frequent international travel) Reports to: Group Company Secretary Full-Time | Permanent The role: We're looking for a proactive, highly organised, and professional Executive Assistant to play a pivotal role in supporting all Board-related activities within the company Secretarial team. This is an exciting opportunity to work at the heart of a global organisation, helping ensure the smooth and efficient operation of the companies governing bodies. Responsibilities: As a key member of the Secretariat team, you’ll be responsible for the operational excellence of all Board members-related activities. Your core responsibilities will include: Meeting Logistics & Planning: Coordinate all UK and international Board and committee meetings, handling schedules, logistics, and ensuring smooth execution. Board Calendar Management: Own and maintain the annual Board calendar, ensuring optimal use of the Board’s time and alignment with business priorities. Information Management: Lead the process of collating and distributing Board and Committee papers, setting clear deadlines to ensure timely and accurate delivery of documents. Expense Oversight: Manage Board-related budgets and expenses, maintaining clear records and financial oversight. Executive Support: Provide diary and meeting management support to the Group Company Secretary and wider team, enhancing their efficiency and productivity. Team Coordination & Admin: Support broader administrative functions to maintain a well-organised, responsive, and efficient operation. Requirements: We’re looking for someone who thrives in a fast-paced, high-performance environment and brings: Board-Level Support Experience: Previous experience supporting C-suite executives or Boards, ideally within a listed or global organisation. Exceptional Organisation: Ability to manage multiple priorities under tight deadlines with precision and poise. High Attention to Detail: A meticulous approach to planning, document handling, and meeting coordination. Confident Communication: Strong interpersonal skills with the ability to liaise confidently with senior stakeholders and maintain discretion with sensitive information. Professionalism & Discretion: A calm and composed presence, with the maturity to manage confidential matters at the highest level. Tech Proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable using board portal systems or similar tools.
