The Role

We’re looking for an exceptional Operations Executive to be the founder’s right hand and a driving force behind our day-to-day success. This is a hands-on role for someone who thrives on variety, is happiest when processes hum, and loves the buzz of a fast-paced, high-growth environment.

Key Responsibilities

* Operational Leadership: Learn and own every MotivatePT process end-to-end, ensuring clients, trainers, and internal teams run seamlessly each day.
* Inbox & Communication Management: Oversee the main inbox, field inquiries, and make sure every client, partner, and trainer receives timely, thoughtful responses.
* Trainer Team Hiring & Support: Manage the recruitment pipeline, onboard new trainers, and work closely with our existing operations assistant to keep the trainer experience world-class.
* Product & Platform: Guide the ongoing development of our tech platform—gathering feedback, liaising with developers, and tracking progress.
* Customer KPIs: Monitor and report on customer metrics to ensure retention, satisfaction, and growth.
* Process Improvement: Spot inefficiencies, propose solutions, and implement new systems as we scale.
* Sales & Relationship Building: Confidently pick up the phone to prospective partners, trainers, or clients and have excellent, results-driven conversations.

Requirements

* Experienced: At least 3 years in a business operations, office management, or similar role—ideally in a small, fast-growing company where you’ve worn multiple hats.
* Organised & Proactive: You love administration, thrive on structure, and stay three steps ahead.
* Commercially Savvy: Comfortable with sales conversations and supporting revenue-driving initiatives.
* Adaptable: No task is too big or too small. You can pivot quickly when priorities shift.
* Collaborative Leader: Ready to work closely with the founder and a second operations assistant, bringing ideas, vision, and flawless execution to the team.
* Office-Based: Happy to be in our London office five days a week, building culture and momentum.
