An exciting opportunity has arisen to join the ELHT Community Administration Team as a Receptionist / Clerical Officer. This is a part‑time permanent position based at Accrington PALS Primary Health Care Centre, Accrington.

We invite candidates that are keen, enthusiastic and committed to improving patient services with excellent communication skills and the ability to work under pressure, in order to provide comprehensive administration support to all services based at the Health Centre.


Key Responsibilities

* Provide general enquiry and reception service for the building, for patients, visitors and staff.
* Operate the switchboard at the Centre, answering queries and transferring calls to health‑care professionals within the building.
* Deliver an efficient and effective message‑taking service in response to all enquiries from patients, visitors and staff, redirecting accordingly.
* Manually or electronically book patient appointments using EMIS/CERNER over the telephone, by post or face‑to‑face at reception, in a sensitive, competent and confidential manner.
* Print daily appointment lists.
* Receive patients onto the database for their appointments or confirm their attendance on appointment lists.
* Add patient referrals onto EMIS and maintain the integrity of the database.
* Deal with any security issues that may arise, calling for support from the Centre Manager, deputy (where applicable), other building staff, the security guard and the local PCSO or police.
* Implement manual procedures in the event of IT system failures, report to IT and monitor progress.
* Book patient transport requests with the PTS service after treatment.
* Provide comprehensive administration support to health professionals, including laminating, photocopying, filing and typing highly sensitive and confidential reports.
* Type and process correspondence, reports and other documents as requested on a daily basis using Microsoft Office programmes such as databases, Excel and Outlook.
* Book and organise appointments for health professionals.
* Handle all aspects of incoming and outgoing mail, including sorting, accurately redirecting and forwarding to the correct department and liaising with Royal Mail staff.
* Receive and process delivered goods for the building, contact the relevant department, ensure delivery to the correct department and report any discrepancies.
* Order and maintain stationery stock levels, including non‑stock items via NHS supply chain or e‑procurement, and receive and receipting of delivered goods, reporting discrepancies.
* Book multi‑purpose rooms within the building manually or electronically for meetings/training and organise provision of necessary equipment.
* Issue aids and equipment as necessary including building wheelchairs, and maintain records.
* Use office machinery and equipment such as printers and photocopiers, and report any breakdowns to the service departments.
* Provide cash reimbursement to patients attending clinics and verify eligibility to claim travel expenses following Trust Policy.
* Provide reception cover at other Primary Health Care Centres as necessary.
* Issue security keys and fobs as instructed, and follow up on keys/fobs not returned at the end of the day.
* Respond rapidly to various alarm systems, including nurse calls and accessible WC, following protocols and any further actions as necessary.
* Record and report all repair requests for the building, manually or electronically, and follow up on progress.
* Direct requests for new work to the Centre Manager.
* Liaise with building contractors and personnel and undertake inductions if required.
* Conduct relevant equipment checks (fire extinguishers, defibrillators, mobile phones, wheelchairs, hearing loops, first aid kits, emergency bags and other Health and Safety tasks) as per the Centre Manager’s responsibilities.
* Receive lost property, maintain accurate records and dispose of goods according to Lost Property procedures.
* Deal with complaints from service users and stakeholders and redirect as appropriate.
* Escort staff, patients and visitors around the building.
* Perform any other duties and reasonable requests identified by the Centre Manager.
