Overview

This is an exciting opportunity for a conscientious, enthusiastic, highly motivated, and organised individual to join the Urology department. Urology is a busy and innovative specialty, which treats problems of the urinary system and the genitourinary tract. This is a permanent Receptionist/Administrator position based within the Norfolk Physiology Unit, working alongside the Continence Specialist Nursing Team within the Urology Department and the administrative Norfolk Physiology team.

The successful candidate will have a methodical approach to work, be extremely well organised, and have a flexible attitude incorporating the Trust PRIDE values. Good communication skills are essential to this post, as the candidate must be able to work well both in a team and independently.


Responsibilities

* Provide critical administrative and reception support to the Continence Service, with a primary focus on managing a significant and growing waiting list, much of which is procedure-based and income-generating.
* Book outpatient appointments and procedures, contact patients, maintain and update records, and cover front-facing reception duties on the Norfolk Physiology Unit when needed.
* Be the first point of contact for appointment bookings and liaise with the relevant clinicians as appropriate.
* Ensure the correct and timely input of patient information onto the Patient Administration System (PAS), observing the rules of real-time data entry.
* Carry out reception duties including meeting and greeting patients, answering telephone enquiries, creating, amending and scheduling appointments.
* Maintain appointment lists and prepare notes in readiness for clinics, investigations, or staff requests; obtain and prepare notes for clinics or investigations as required.
* Maintain a log of telephone requests for investigations, prioritise these, and convey messages to the appropriate technical staff.
* Obtain and prepare notes for clinics, investigations, or at the request of staff within the department, and maintain a record of the transfer of notes to and from the department.
* Understand the 18 Week Pathway, input the correct RTT codes, and validate the patient pathway where appropriate.
* Liaise with Secretaries and other Trust departments to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic; liaise with external stakeholders to obtain referrals if necessary.

Additional information

* To provide a support service to the technical, secretarial, medical and nursing staff of the Department and to carry out receptionist duties, including prioritising and arranging appointments and maintaining appointment systems.
* Identify test requests and investigations, coordinate clinics within the department, and deal with patients and internal/external staff enquiries in a courteous and confidential manner.
* Ensure patient safety and well-being in the waiting area prior to appointment and alert staff to any concerns.
