About the Administrative Coordinator Job
We are seeking a highly organized and detail-oriented Administrative Coordinator to support our daily office operations and administrative functions. In this role, you will play a key part in ensuring smooth workflows, coordinating office activities, and providing essential support to various departments.
Location: Oxford
Working Hours: 40 per week
Working Scheme: 4 days onsite, 1-day WFH
Key Responsibilities
* General office support, including office supplies management, office visitor arrangement, company car management, daily operation billings processing, meetings and events coordination, external relationships management, office equipment, and facility maintenance to ensure a well-functioning workspace.
* Facilitate and support logistical and administrative aspects of office relocation, ensuring a smooth transition and minimal disruption to operations.
* Provide support to other colleague’s business travel arrangements, including tickets booking, visa application, etc.
* Assist in IT materials management, delivery and maintenance.
* Maintain accurate records and filing systems for administrative and company documentation.
* Ensure compliance with company policies and office procedures.
* Liaise with vendors, service providers, and external partners to ensure smooth operations.
* Provide general support to visitors and employees as needed.
* Follow task assignment orders and job duties delegation from the supervisor.
Main Requirements
* Bachelor’s degree in business administration, management, or a related field is preferred.
* 1-2 years of experience in an administrative role.
* Strong organizational and time-management skills with attention to detail.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
* Fluent in both English and Chinese (Mandarin) languages
* Applicants must reside in or near the Oxford area and have the legal right to work in the UK.
