Providing high-level executive support, you will manage the MD's time and correspondence, coordinate the board and investor reporting cycle, and oversee facilities and a portfolio of live business projects. You will be trusted with sensitive information and given the authority to chase and direct senior staff on the MD's behalf.
The role would suit a self‑motivated and tenacious individual who can bring exceptional organisation skills, maturity, confidence and level‑headedness to a rapidly scaling organisation.
Part‑time working will be considered for this role.
Key responsibilities
Executive support
* Diary management, protecting MD time and gatekeeping access
* Draft, proofread and send correspondence
* Triage inbox and flag what genuinely needs MD attention
* Preparation for meetings with briefing notes and context, where appropriate
Board and investor coordination
* Run the monthly board cycle: organising paperwork and logistics
* Maintain board action log and chase items to completion
* Coordinate investor and finance reporting calendar with fractional FD
* Manage scheduling and correspondence with senior external stakeholders (investors, advisers, solicitors, accountants)
* Provide feedback to senior team as appropriate
Project oversight
* Oversee a portfolio of live business projects including tracking deadlines and chasing internal and external parties as needed
* Identify slippage early and escalate before it becomes a problem
* Oversee office and facilities management
Coordination and follow‑up
* Coordinate meetings and obligations between MD and senior team
* Take actions from meetings and ensure they are completed
* Chase and instruct senior staff where required
* Conduct return to work and check‑in meetings where requested
* Remove administrative and coordination load from the MD wherever possible
Tools and ways of working
* Use AI tools to draft, summarise, research and automate routine work
* Build and improve workflows that make the MD and the wider team faster
* Stay on top of new tools and bring better ways of working into the business
What we need from you
* Proven experience as an Executive Assistant or Office Manager role supporting senior leadership in a fast‑moving business
* A track record of running projects to completion independently
* Technically confident and experienced: fluent with everyday business software and quick to learn new systems
* Hands‑on with AI tools with a genuine interest in using them to work smarter
* Excellent communication and organisational skills
* High discretion and sound judgement with confidential information
* Confident managing up and holding senior people to deadlines
* Comfortable working in a growing business where priorities shift rapidly
* Experience in a board or investor‑reporting environment
* Familiarity with project tracking and automation tools
* Background in a scaling SME
