To provide an efficient and effective secretarial service to consultants and junior medical staff working at BGH/RBH site. To work as part of a team, promoting effective flows in the department to cover leave to ensure that systems and processes run smoothly in the absence of the dedicated secretary. Periods of absence will be planned in advance to enable cover to be planned enabling the post holder to plan their work accordingly.
Main duties of the job
To provide secretary service: accurately producing from audio/copy, patient related correspondence /reports/discharges of a sensitive and complex nature, using appropriate software and within specific timescales
To ensure a high standard of data quality at all times, in particular ensuring that patient demographic details are accurate and up to date by using the patient Information System (EMIS)
Communicate effectively with internal and external customers. Act as a link regarding clinic appointments, reports and results with other departments and staff across the Health Board, GPs, other hospitals and Medical Centre
To respond as requested to enquiries/ correspondence from GPs and patients, both written and by telephone, and act on such enquiries promptly and appropriately and at all times safeguard patient confidentiality. Ensure queries are prioritised appropriately and where appropriate offer solutions to any potential problems.
Transcribed letters - ensure all letters and associated documents are copied and distributed to the appropriate professionals, including patients.

Other Duties
Ensure efficient audit processes in place concerning correspondence to ensure quality levels maintained and rectify accordingly.
Establish and maintain efficient office systems, including filing systems and maintain booking out/and booking in system for case-notes. .
Attend appropriate training, meetings and education sessions when required.
Work with managers to review working practices, ways of working and find solutions to problems.
Work with managers to improve quality and range of services, with resources being managed according to agreed policies and procedures.
Ensure all mandatory training is up to date and reported accordingly.
Record and input data onto databases and systems as appropriate. Provide line manager with information in relation to cases and clinics when requested.
Organisation of new and follow up appointments for patients for Consultants clinics, including distribution of appointment letters to patients, dealing with patient cancellations and re-scheduling new appointments over the telephone and by post.
Work within Trust and departmental guidelines and policies
General admin and office duties, including incoming and outgoing mail, e-mail, photocopying. Participate in housekeeping of office environment.

Essential
Essential criteria
* GCSE English or equivalent
* RSA/OCR Level II or ECDL or equivalent
* Previous admin and secretarial experience
* Ability to accurately transcribe complex audio dictation
* Clear and accurate verbal and written communication
* Good organisational skills and be able to manage prioritise own work load
Desirable criteria
* Knowledge of medical terminology
* Experience of using hospital patient administration system i.e. EMIS
* Experience of working in NHS office environment
