Job Summary

If the answer is yes, then we are looking for an enthusiastic and motivated AO Administrative Officer to join our encouraging and welcoming team of dedicated military and civilian healthcare professionals and administrative staff working within Wavell Barracks, Aldershot.
The vacant post is a full-time position working 37 hours per week. Part-time candidates will be considered but due to service delivery requirements it must be on a job share basis as full-time hours need to be covered.

Job Description
The post holder will work as a member of the comprehensive administrative support service to the staff of Headquarters (HQ) London & South (LS) Region Defence Primary Healthcare DPHC(LS) in order to facilitate the provision of primary healthcare to agreed standards throughout the Medical Centres in the Region. The Regional HQ (RHQ) Administrative (Admin) Officer is responsible for the day to day functionality of the ‘Administrative Support Office’.
The post holder should be flexible and adaptable and able to respond to the rapidly changing needs and priorities of the post and supporting the Regional Clinical Director (RCD) and RHQ staff in the delivery of primary healthcare. You will need to be able to work effectively within a team as well as an individual and be able to articulate information with an ability to assimilate instructions and working practices. Equally important is an understanding of your responsibilities towards handling personal data and confidentiality.

Person specification
Main details of the role include but are not limited to:
* Responsible for administrative support to the Regional HQ Team. Ensuring the efficient running of the Administrative Support Office, highlighting any issues as and when necessary.
* Arranging and co-ordinating RCD and other personnel visits, meetings and presentations, including booking of venues, provision of equipment, refreshments and tidying away after meetings. Producing visit programs and personnel briefs, producing Agendas, taking and producing Minutes of meetings/Records of Decisions
* Managing the group calendar by booking appointments primarily for RCD and Ops Mgrs.
* Acting as primary Point of Contact for the Region - dealing with queries within your own area of expertise and taking accurate messages as appropriate for other staff.
* Assisting with the administration of the regional Sharepoint team site, including management and user access control
