THE POSITIONHR Assistant 12 Month Contract – Part TimeHours: 0.5FTE / 18.5 hours per weekTo coordinate and provide a high standard of administrative support to the GBS & Local HR teams. To ensure effective and efficient administrative processes to facilitate the successful delivery of business objectives.TASKS & RESPONSIBILITIES Act as liaison between local HR and GBS (Global Business Services) team to ensure effective working relationships, practices and partnership.Collaborate with GBS to implement process improvements to ensure effective and efficient processes are in place.Work with the GBS team on key initiatives and project work.Support implementation of new processes and provide guidance on communication from GBS to local population where required.Provide reports to GBS team and Local HR team including sickness absence reports, car related reports, capacity, MAG & VPR reports.Provide reports to the business including address and cost centre changes.Ensure reports are completed for Benefit providers such as Legal & General.Manage ad hoc report requests.Quality Control and sign off for monthly spot checks for Boehringer Ingelheim Ltd, BI AH UK Ltd payrolls and BI Ireland Ltd.Provide advice and guidance to support communication from GBS Payroll to local population, for example Benefit topics with payroll relevance.Provide on-site audit support if not reasonably feasible from GBS Payroll.Responsible for the organisation and co-ordination of local Welcome EventsSupport the HR team with administration, HR processes, events and logistics as requiredEnsure purchase orders are raised, with the support of the agency HR Admin support, ensure effective cross charging when appropriate. Manage the GBS invoice track process. Ensure redundant/consumed POs are closed throughout the year.REQUIREMENTSExperience in a similar role (ideally 12+ months).IT literate(MS Office) with advanced Excel skills, eg Pivot Tables,VLOOKUP, Charts, Formulas.
