Job Description Agency Receptionist / Administrator Overview We are seeking a friendly, organised and motivated individual to join our growing estate agency team as an Agency Receptionist / Administrator. This role will involve managing the day-to-day organisation of the office while also assisting with lettings administration and supporting the wider team. The successful candidate will be the first point of contact for landlords, tenants and clients, ensuring excellent customer service while maintaining a well-organised and efficient office environment. As the company continues to grow, this role offers an opportunity to develop further within the lettings side of the business and potentially progress into a lettings negotiator position. Key Responsibilities Answering incoming calls and handling general enquiries Managing and responding to email enquiries through the company inbox Booking appointments and property viewings Arranging property inspections and coordinating suitable times with tenants Carrying out property inspections when required and completing inspection reports Dealing with tenant maintenance issues and coordinating repairs where necessary Preparing and issuing tenancy agreements and other letting documentation Preparing and issuing letting documents for annual tenancy renewals Completing property inventories and uploading/sending them for electronic signature Liaising between landlords and tenants regarding tenancy matters, renewals and property issues Building strong relationships with landlords and acting as a key point of contact Ensuring all enquiries and issues are handled promptly and professionally Supporting the Managing Director with the smooth running and organisation of the office Candidate Requirements Minimum of 4 GCSEs (or equivalent) Excellent verbal and written communication skills Strong organisational skills with high attention to detail Ability to work under pressure and manage multiple tasks Friendly, professional and positive attitude Ability to handle conflict and resolve issues professionally Quick thinking with the ability to work proactively Experience using CRM systems and strong data entry accuracy Full driving licence and access to a vehicle for property visits when required Previous experience working in an estate agency or property environment would be advantageous but is not essential About the Role This is an excellent opportunity for someone looking to start a long-term career in estate agency. Following a recent rebrand, we are looking for someone who is enthusiastic about growing with the company and becoming a key member of the team. The role will initially focus on reception and administration duties, with the opportunity to develop into the lettings side of the business as the company expands.
