Job Overview
As part of the Crematorium team this is a varied role key to the smooth functioning of the crematorium providing vital support to pet owners and veterinary practices handling calls and welcoming visitors with compassion and sensitivity. To carry out allocated duties with great care, to represent the company in a professional and empathetic manner, and to support the site manager and team to provide the best possible service.
As a key member of the Crematorium team, you will undertake administrative duties to ensure all documentation, call handling, greeting visitors and processing of paperwork associated with pet cremations and veterinary services. Ensuring services requested are accurately captured, tracked and completed in accordance with pet owners and customer's requirements.
Logging and recording of driver collection documentation, preparation of driver and delivery schedules and preparation of pet cremation records and certificates. Supporting all other office admin activities including assisting with monitoring stock levels and placing orders.
Working effectively as part of a small team to ensure services are carried out accurately and on time, supporting each other, prepared to assist with other crematorium duties such as Ash preparation, the taking of ink/foam paw prints, fur clippings and returning pet ashes when needed.
As part of the team, you will take pride and actively assist in maintaining a clean and presentable crematorium office and public areas at all times. Working directly under the leadership of our Crematorium Manager and as part of a caring and committed team, the role will be varied and your ability to gain experience will allow you to develop your own skills further.
Duties
* · Liaising and meeting with crematorium customers and contacts courteously, offering excellent customer service to all our clients
· Meeting with and facilitating visits for bereaved owners with the utmost care and compassion
· Taking enquiries over the phone from members of the public & veterinary practices
· Inputting driver collection records, waste transfer notes / consignment notes onto Exchequer/ other business systems
· Working on excel spreadsheets including completion of collection and delivery sheets and all other aspects of company paperwork as directed
· Ensuring accurate completion of cremation certificates and labels
· Checking invoices are correct
· Updating the EA spreadsheet
· Be proactive in identifying issues, investigating issues and seeking resolutions
· Filing paperwork
· Taking card payments and handling and recording cash sales
· Working closely with the customer care, sales and operations teams
· The taking and preparation of ink paw prints, foam paw prints and fur clippings
· Developing and understanding of clinical waste disposal record keeping requirements
· Support the crematorium manager in monitoring of supplies and stocks and placing orders when needed
· Be proactive in seeking out tasks and supporting team members when duties completed
· To uphold company values when carrying out responsibilities and when working with colleagues, pet owners, customers and suppliers
· To ensure Company policies and procedures are adhered to when completing allocated duties
· To follow company Health and Safety Guidelines and ensure own safety, and the safety of others who may be affected by your actions
