As we continue to grow, we are seeking an exceptional and highly proactive Executive Personal Assistant to provide dedicated support to our Joint CEOs and play a key role in the success of the firm.
The Role
Based within the CEOs’ office, you will act as a trusted partner and right hand to our Joint CEOs. This is a pivotal role combining executive support with operational coordination, requiring absolute discretion, strong commercial awareness, and the ability to thrive in a fast-paced environment.
You will act as a key connector across the business, supporting communication between the Joint CEOs, the Partnership Board, and senior leadership team.
Key Responsibilities
* Email & Correspondence: Proactively manage the Joint CEO’s frequently changing diaries, prioritising commitments and ensuring effective time management. Filter emails, and draft correspondence on their behalf where appropriate.
* Board & Committee Support: Coordinate meetings, prepare agendas and high-level briefing documents, and track follow-up actions.
* Minute Taking: Accurately record minutes for executive meetings, Partnership Board meetings, and key strategic committees.
* Stakeholder Liaison: Act as a central point of communication between the joint CEOs, leadership team, and external stakeholders, handling sensitive matters with professionalism and discretion.
* Travel & Logistics: Coordinate domestic travel itineraries and accommodation arrangements.
* Reporting & Documentation: Prepare reports, presentations, and briefing materials ahead of key meetings, and to support strategic decision making.
* Ad-Hoc Projects: Lead or assist with ad-hoc strategic and operational projects across the wider law firm.
Requirements
* Proven experience as a PA, EA, or senior administrator, ideally supporting C-suite executives within in a law firm or professional services environment.
* Strong organisational skills with exceptional attention to detail
* The ability to multitask under pressure.
* Excellent written and verbal communication skills.
* Hign levels of integrity, discretion, and confidentiality when handling sensitive corporate and client information.
* Proficiency in Microsoft 365 (Word, Excel, PowerPoint, and Outlook).
* A forward-thinking, proactive approach with the ability to anticipate needs and pre-empt potential issues.
