Birmingham City University is seeking experienced Personal Assistants to join the newly formed School Leadership teams, where you will be responsible for supporting the School Heads of Department and be part of our journey to achieve the priorities outlined in the University’s ambitious and future‑focused Strategic Plan.
We are seeking highly organised and proactive candidates to work closely with the Heads of Department, providing confidential and high‑level support. This pivotal role demands exceptional communication and organisational skills, a keen eye for detail, and the ability to manage a dynamic, fast‑paced workload with professionalism and efficiency.
Reporting to the Director of School Operations, you will organise your own workload and manage a complex diary. You will work with the Heads of Department and the Dean’s Executive Personal Assistant to ensure business needs and key university and school‑based activities and deadlines are met. Positive working relationships with key internal and external stakeholders, as well as planning and managing key events, will be essential to your success.
Key Responsibilities
* Provide a high‑quality secretarial and organisational support service.
* Effectively manage electronic diaries, assessing priority of appointments and reallocating as necessary.
* Support an extensive range of meetings, including scheduling, preparing agendas, pre‑meeting briefings, meeting papers, noting action points and following up on them.
* Draft correspondence, memos and reports, and prepare presentations.
* Act as a key liaison point between senior managers and other parties, setting up meetings and maintaining good communications.
* Make travel arrangements, book accommodation, and process expense claims.
* Sort, distribute and respond to incoming mail in a timely and efficient manner.
Essential Criteria
* Previous experience as a Personal Assistant.
* Excellent IT skills, including advanced knowledge of word processing, spreadsheets and presentation software (preferably Word, Excel, PowerPoint).
* Experience of electronic diary management.
* Demonstrated excellent teamwork skills, working collaboratively and cooperatively with colleagues.
* Ability to assimilate large quantities of written and verbal communication quickly to produce accurate, timely minutes.
