Fleet Co-Ordinator Birstall Full Time | Permanent Scope of the position As the Fleet Co‑ordinator, you’ll support the UK & Ireland Fleet Management Team by delivering essential administrative and operational support. This includes managing the day‑to‑day administration of the company’s car and light commercial vehicle fleet. The role focuses on providing excellent customer service, ensuring full safety and compliance, and driving operational efficiency across all fleet activities for company car and van drivers throughout the UK & Ireland. Main responsibilities Support the administrative duties of the company car and commercial fleet, ensuring activities align with operational, safety, and compliance objectives across all business units. Handle day‑to‑day administrative tasks including fuel card management, starter/leaver updates, supplier coordination, and general fleet documentation. Ensure driving licence checks are completed and recorded, and maintain accurate, up‑to‑date information on the Motor Insurance Database (MID). Manage the Manage the full monthly company car mileage claims cycle — from data collection, validation, and reconciliation through to approvals, payroll reporting, and driver communications Support the development, building, and ongoing upkeep of dashboards to ensure accurate, actionable insights across fleet operations. Support cost‑saving initiatives by coordinating documentation, tracking expenditure, and assisting with the administrative processes involved in procuring vehicles and equipment in line with commercial and EHS requirements Provide administrative support for driver training, promoting safe driving practices, policy awareness, and legal compliance. Monitor accident reporting, telematics insights and route‑optimisation tools, producing regular reports for the Fleet Operations Manager. Maintain and analyse driver incident data to identify trends, support risk reduction, and drive continuous improvement in safety and operational performance. Liaise with leasing companies and suppliers to ensure compliant to minimize downtime Manage the administration of penalty notices and driver endorsements, ensuring accurate records and timely communication. Knowledge, skills and qualifications: The positions requires: Strong administrative skills with experience managing documentation, databases, and day‑to‑day office processes. Excellent organisational ability, with accuracy and attention to detail when handling records, compliance tasks, and fleet data High proficiency in Microsoft Office applications, including advanced Excel (spreadsheets, formulas, dashboards), Outlook, Word, and PowerPoint. Good communication skills, able to liaise effectively with drivers, managers, and suppliers. Ability to analyse data, identify trends, and support operational decision‑making. Educated to GCSE/A‑Level or equivalent; relevant administrative or fleet‑related qualifications desirable.
