Executive Assistant to Managing Director

Role Description
We are seeking a highly organized, proactive, and dynamic Executive Assistant to support the Managing Director at Biotrains.
This is a full-time, on-site role based in Birmingham, where you will not only provide executive-level administrative support but also play a critical role in personal branding, PR activities, communications, and project coordination.
You’ll be working closely with the Managing Director to ensure operational efficiency, create engaging content, drive thought leadership, and help build a powerful personal brand across digital and media platforms.
Responsibilities
Schedule and Calendar Management
* Manage daily, weekly, and monthly calendars.
* Organize and prioritize meetings, events, and appointments.
* Monitor inboxes and manage reminders for critical deadlines.
Content Creation and Management
* Draft, edit, and schedule LinkedIn posts, articles, and thought leadership content.
* Curate and manage content libraries and social media strategies to grow the Managing Director’s brand presence.
* Proofread and ensure brand consistency across communications.
Branding and PR Activities
* Assist in creating and executing personal branding strategies.
* Manage PR efforts: drafting press releases, pitching media, and handling media relations.
* Secure speaking opportunities, interviews, and collaborations to amplify visibility.
* Monitor media coverage and proactively position the Managing Director in key conversations.
Research and Strategy Support
* Conduct research for articles, speaking engagements, and projects.
* Provide strategic insights based on industry trends and competitor analysis.
Communications & Relationship Management
* Serve as the first point of contact for communications, emails, and social media.
* Manage client and partner relationships with professionalism and care.
* Draft email communications and follow-ups in the Managing Director’s voice.
Project Coordination
* Support planning and execution of projects, including book writing, speaking engagements, and brand initiatives.
* Track project timelines, deliverables, and ensure smooth execution.
Administrative and Personal Support
* Handle document management, travel bookings, meeting minutes, and personal errands.
* Manage important files, appointments, and occasional personal engagements with discretion.
Key Skills and Qualifications
* Minimum 2 years experience as an Executive Assistant, Personal Assistant, or in a similar administrative role (preferably in creative, PR, or thought-leadership sectors).
* Exceptional written and verbal communication skills.
* Excellent organizational and time management skills; ability to multitask effectively.
* Proficiency in MS Office, Google Workspace, LinkedIn, Asana/Trello, Canva, Hootsuite, and similar tools.
* Strong understanding of branding, PR, and media outreach strategies.
* Proactive mindset with excellent problem-solving abilities.
* Ability to maintain confidentiality and discretion at all times.
* Creative thinker with an eye for detail and passion for content and communication.
* Experience or interest in the Pharmaceutical, Life Sciences, Healthcare, or Wellness sectors is a plus.
