We are looking to recruit an enthusiastic, IT literate, friendly, and reliable medical administrator to join The Dawley Family.
The post holder will provide medical and administrative support to a growing clinical team serving a patient population of 12,000. Duties will include dealing with prescription requests, scanning patient documents, filing and clinical coding, answering telephone calls from patients and associated healthcare colleagues. Full training will be given.
Main duties of the job
To gain a thorough knowledge of all practice procedures.
To work in accordance of written protocols.
Meet performance targets for speed, accuracy and quality.
Filing and retrieving patient notes and other Practice documents.
Scanning patient documents using Docman system, attaching to the patient record and coding where appropriate.
Photocopying documents for patient Subject Access Requests, non‑NHS requests and other admin related duties.
Handling medication requests emails and electronic.
Manage the EMIS workflow managing and filing 111 reports, and other workflow tasks in the Practice computer systems.
Answer and manage telephone calls from patients, healthcare providers and other associated staff relating to medications, referrals and other admin related queries.
Answer and manage telephone calls from the Practice patients registered on the Special Allocations Scheme violent and aggressive patients.
Checking of the Practice general email ensuring all emails are responded to, or forwarded to the most appropriate person in a timely manner.
Participate in team and practice meetings and training events.
Also needs to be flexible and cover staff sickness and holidays.
About us
The surgery is located in Dawley, which is part of Telford in the county of Shropshire. Telford is a town, some 15 miles from the market town of Shrewsbury and 35 miles from Birmingham. Telford has good rail and road connections, with the motorway providing good access to all parts of the Midlands and the country.
The practice was built in 2002 and has 11 consultation rooms, a treatment and recovery room, a large staff meeting room, a reception administration area, a large admin office, a practice manager’s office and a staff kitchen and rest areas.
The practice has a list size of just over 12,000 patients. The patients at Dawley are predominantly long‑established families, with a high level of deprivation for the area. The practice is part of Telford. Telford has a rapidly growing population with a lot of new housing with a young mobile population, however this demographic is not representative of Dawley, which retains a more traditional population with a much higher number of elderly patients, and more deprivation than the surrounding area. The practice has a good and caring reputation locally.
Job responsibilities
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

* Good standard of general education GCSE English and mathematics

* Relevant qualification eg NVQ in Customer Service, RSA typing, Medical Terminology
Experience
* Experience of working within a high performing customer service team
* Experience of working within a General Practice Reception or Administration environment Practical experience of computerised recording systems (EMIS)
