Job Description
We are seeking a highly organised, tech-savvy and proactive Private PA / EA to support a successful AI researcher based in London. This is a brand-new role created to provide both private and light executive support, with the primary objective of giving the Principal valuable time back.
The Principal is exceptionally capable and high-performing in their professional life, but is seeking support with life administration, scheduling, healthcare coordination and bringing structure to day-to-day organisation. This role will suit someone who thrives on creating systems, enjoys bringing order to complexity and can operate with discretion and initiative.
The position will begin at approximately 20 hours per week, with flexibility depending on workload. The successful candidate will likely work remotely for the majority of the time, with occasional in-person assistance as required in the Shoreditch area.
DUTIES INCLUDE
• Comprehensive diary management, including scheduling, rescheduling and follow-ups
• Inbox management and correspondence across personal and professional matters
• Coordinating medical appointments, liaising with healthcare providers and managing insurance pre-authorisations
• Handling life administration, including managing bookings, calls, forms and ongoing personal tasks
• Acting as liaison with third parties including doctors, insurers, veterinary practices and service providers
• Implementing simple, effective systems to track tasks, meetings and outstanding actions
• Providing reminders and ensuring accountability on key deadlines and commitments
• Supporting casting processes and external meetings, including scheduling and follow-ups
• Researching and coordinating additional concierge-style services if required
• Bringing clarity and structure to workflows using digital tools such as Google Drive and other collaborative platforms
• Providing ad hoc executive and private support as the role evolves
ESSENTIAL CRITERIA
• Previous experience as a Private PA, EA or Chief of Staff supporting busy professionals
• Strong organisational skills with the ability to implement practical systems
• Highly tech-savvy and confident using Google Workspace and digital productivity tools
• Proactive, detail-oriented and calm under pressure
• Comfortable handling confidential and sensitive information
• Excellent communication skills, both written and verbal
• Able to work independently and manage time effectively in a remote setting
• Flexible, solutions-focused and adaptable as the role develops
• Right to work in the UK
