About the Opportunity Job Type: Permanent Application Deadline: 14 April 2026 Role: Grants Operations Assistant (the post-holder is employed by Fidelity International and seconded to the Foundations) Location: London (Cannon Street). The post-holder will need to be in the London office at least 3 days per week). Reports To: Senior Grants Operations and Finance Manager, Fidelity UK and international Foundations Job Type: Full Time Background About the Fidelity UK and international Foundations The Fidelity UK, Europe, Asia Pacific and Bermuda Foundations are all independent grant-making organisations that have been proudly supported by Fidelity International since inception. Priority programme areas for the Foundations include: enabling children and young people facing disadvantage fulfil their potential (with a focus on education attainment, employability, well-being and community-based interventions); health and wellbeing; arts, culture and heritage; and environmental conservation. The Foundations’ approach to grant-making is distinctive, in that they focus on capacity building: helping to strengthen the impact, effectiveness and/or sustainability of charitable organisations. By capacity building, we mean the capability, knowledge and resources that charities need to be effective. Further information about all Foundations, their grant-making programmes, the priority countries in which they make grants, and their approach to grant-making can be found on the Foundations’ website. All Foundations are managed by one team located in London, The Netherlands and India. The Foundation’s values of integrity, trust, compassion, collaboration, and a deep sense of humility guide our grant-making, which is executed quietly as the Foundations do not seek public profile. This is an exciting time to join the Foundations as we continue to develop and grow our grant-making and support high impact charities. Appendix 1 provides some information about Fidelity International. Purpose of the Role As Grants Operations Assistant, this person will play an important role in the day-to-day operations of the Foundations, ensuring effective, efficient and timely grants administration, supporting the preparation of Board papers, and providing administrative support across the Foundations. The post-holder will also assist with diary management and act as an executive assistant to the Chief Executive. The person The successful candidate will have proven administrative experience, be highly organised, pro-active, have exceptional attention to detail (with strong proofreading skills) and will be comfortable managing multiple tasks and working at pace. They also be adept at working with databases (ideally salesforce) and will have strong IT skills across Microsoft Office products. The person will understand the importance of confidentiality and discretion and will be a collaborative team player. Key Responsibilities Grants administration Supporting the day-to-day administration of the Foundations’ grant-making, including: Leading on the production of grant offer packs, ensuring details are accurate (and match details on the grants management system), and that packs are completed within established timeframes. Drafting and supporting other communication with grantees/applicants, as required. Undertaking financial administration (e.g. verifying grant payment details, liaising with the supplier team to set up grant payments, and liaising with grantees to monitor receipt of payment). Assisting Grant Managers and the Grants Operations team in ensuring data and information on the Foundations’ grants management system is accurate and kept up to date. Proofing grant proposals. Governance Supporting the preparation of Board papers (including proof reading to check for accuracy, house-style and formatting). Effectively manage the portal used for posting Board papers, posting and removing documents, as required. Preparing/drafting minutes for meetings, as required, ensuring they are accurate and produced in a timely manner. Facilitate the annual review of the Foundations’ policies. Support the maintenance of the Foundations’ effective control environment, including adherence to policies that relate to grants administration. Providing administrative and other support for the Foundations, including: Monitoring and responding to general telephone, post and email queries in a timely manner, and logging these, as appropriate. Supporting the Grants & Data Officer in providing system support for applicants and grantees. Providing executive support to the Foundations’ Chief Executive. General administrative support for the Foundations’ team, including responding to invitations, scheduling team meetings, organising meetings with grantees, booking meeting rooms etc. Organising travel, including booking flights and accommodation, arranging visas and producing travel itineraries, as required. Supporting the Grants Operations and Finance team in the day-to-day operations of the Foundations and the processing of grants. Maintaining effective filing and management of shared documents. Offering flexible support for the Foundations generally, as and when necessary, providing cover for other members of the team ensuring that work of the Foundations can continue effectively and without interruption. Representing the Foundations in a manner that is consistent with its values. Experience Required Knowledge and experience Demonstrable experience working in an administrative or team/personal assistant role. Demonstrable experience of proof-reading documentation for clarity and accuracy. Experience of using Microsoft Office, Word, Excel, Outlook etc. Experience of working with CRM systems, in particular Salesforce. Skills, abilities and interests Excellent administrative and organisational skills. Ability to effectively multi-task, meet tight deadlines and work at pace, pro-actively managing a diverse workload and competing demands. High standard of written and spoken English. Excellent communication and inter-personal skills - must be able to work effectively with internal and external stakeholders. Conscientious, with excellent attention to detail and able to check for accuracy. Ability to receive and carry out instructions accurately. High level of personal responsibility, discretion, humility, and emotional intelligence with experience of engaging with people from diverse backgrounds and cultures. Self-motivated and able to work independently as well as work effectively as part of a small team. Positive attitude, adaptable and willing to work flexibly in support of the Foundations’ aims. Ability to work with discretion and humility. Approachable and diplomatic, with the ability to work with cross-functional teams. Empathetic with an open and curious approach. An understated and collaborative style. Desirable Skills Knowledge/experience of grant-making/the charitable sector. Qualification in Administration preferable, but not essential. Copy-editing skills. General Empathy with, and commitment to, the mission, objectives and values of the Fidelity UK and international Foundations. A desire to bring enthusiasm and commitment to the role. Evidence of commitment to work-related learning and development.
