Legal Administrative Assistant / Paralegal

£25k - £30k

Location: London, EC4

Permanent, Full-Time (Monday to Friday, 9:00am – 5:30pm | 37.5 hours per week)

We are currently seeking a Legal Administrative Assistant or Paralegal to join our busy Commercial Property Team in the London office. This is an exciting opportunity for someone looking to gain valuable experience in a highly regarded law firm, supporting two senior partners and contributing to the smooth operation of multiple departments.

We welcome applicants with prior legal administrative or paralegal experience and are also open to recent LPC graduates looking to take the first step in their legal careers.

Key Responsibilities

* Opening new client matters and supporting the onboarding process, including Anti-Money Laundering (AML) checks

* Managing client file archiving (digital and physical), including retrieving archived files when required

* Maintaining and filing documents in client folders (paper and electronic)

* Handling incoming/outgoing post, scanning to our document management system (iManage/Access Legal), and ensuring post is presented to the appropriate fee earner

* Photocopying and scanning documents as needed

* Communicating with clients via telephone and email, passing on accurate messages promptly

* Updating and maintaining the case management system

* Assisting with the preparation and editing of legal documents, correspondence, and reports

* Supporting billing processes and preparing completion statements

* Assisting with payment preparation (BACS/TT/Faster Payments)

* Occasional digital dictation support (BigHand)

* Coordinating with accounts for incoming funds and completing internal records (e.g., white slips)

* Conducting bank verification calls

* Greeting and assisting clients in-person for document drop-offs/pick-ups

* Managing diaries for fee earners, including scheduling Teams calls and meetings

* Providing reception cover when required (meet & greet, answering phones)

* Typing attendance and meeting notes

* Representing the firm at networking events and client functions (e.g., Young Chambers)

* Preparing and submitting HM Land Registry applications, SDLT returns, and property searches

* Managing DocuSign workflows
