We are looking for a Head of Records Management who is highly organised and passionate about regulatory compliance and operational excellence to join our Global Engineering & Facilities team, based out of our office in Slough, UK.
About the Role
As the Head of Records Management, you will provide a comprehensive records management service to UCB sites in the UK & Ireland, Germany & Austria. You will ensure that the needs of business units, financial, legal, and regulatory authorities are met. You will manage a team of records management professionals and external partners, ensuring service standards and regulatory compliance are achieved. You will also actively engage in global records management and archiving initiatives as a subject matter expert and representative for the UK, Irish, German, and Austrian sites.
Who You’ll Work With
You will report to the Global Engineering & Facilities leadership and work closely with records management teams in Slough/Windlesham and Monheim, business stakeholders across UCB, third-party storage providers, QA departments, external regulators, and professional bodies. You will build strong relationships to ensure best practices and compliance are maintained across all sites.
What You’ll Do
1. Lead Records Management operations in UCB UK & Ireland and UCB Germany & Austria, ensuring RM policies, procedures, and schedules are implemented
2. Manage the archiving of data/documents and maintaining inventories in line with retention schedules and regulatory requirements
3. Oversee contracts for third-party off-site storage providers, including setting and monitoring service level agreements
4. Coordinate and support to ensure document and record control meets GMP, GLP, and GCP requirements
5. Manage and support the UCB Learning system for the UK & Ireland Facilities team, ensuring training plans meet regulatory and business needs
6. Provide effective management of RM teams through appraisals, objective setting, training and development, coaching, and technical skills development
7. Promote Health, Safety, and Environment requirements and foster a responsible attitude among staff
8. Contribute to global UCB initiatives to improve archiving and RM practices company-wide
9. Advise and support colleagues on RM issues, promoting good practices through education, training, and practical support
10. Lead projects to transition from paper to electronic records, facilitate data/document exchange with partners, and enhance document management systems
11. Engage with professional bodies, external working groups, and other RM leaders to keep UCB strategies current
Interested? For this role we’re looking for:
12. Minimum 5 years’ experience in records management roles within regulated environments (healthcare, energy, financial, or preferably pharmaceutical industries)
13. Experience managing regulated documents and working with QA departments and external regulators
14. Strong leadership, interpersonal, verbal, and written communication skills
15. Excellent organisational skills and the ability to analyse complex situations and identify key actions
