We are looking for a Safety & Risk Administrator to join our team at Solmar.

The Role
Reporting to the Head of Safety and Risk Management, this role supports the effective administration of Solmar’s Overseas Health & Safety policies and processes. You will help promote a strong safety culture, support risk mitigation across our villa portfolio, and ensure accurate, timely coordination of safety documentation and communications.

The role is based in our head office in Burton-on-Trent and offers hybrid working (Monday-Wednesday will be required in the office per week)

Key Responsibilities
1. Ensure all processes are followed in line with the company’s H&S policy and SMS requirements.
2. Support the monitoring of villa safety standards, ensuring risks are mitigated, through accurate keeping, follow‑up actions, and coordination with relevant teams.
3. Ensure compliance with internal safety processes, reporting requirements, and safety documentation.
4. Respond to general enquiries via email and telephone from internal staff and external villa suppliers
5. Ensuring safety self-assessments are complete by our villa suppliers and owners ahead of arrivals
6. Ensuring audit reports are signed by suppliers for all villa audits
7. Ensuring high risk villas are resolved in time for arrivals
8. Escalating safety related cases/tickets to Officers when necessary
9. Checking safety conformities such as gas /oil/diesel certificates
10. Stock taking for overseas health and safety stock
11. Organize, manage and monitor boot stock for overseas staff
12. Escalate safety related feedback and/or complaints to the relevant officer for investigation
13. Obtaining End of season feedback from contractors/suppliers and Villa managers
14. Pulling and providing data for Head of Safety and Risk for Weekly team meeting and monthly board report & end of season reviews
15. Sending monthly incident statistics to ABTA
16. Other admin as required
Cross‑Team Collaboration
17. Foster strong working relationships between the Safety & Risk team, suppliers, overseas teams, and the product team.
18. Act as a central coordination point for overseas safety information and communications.
19. Support Positive engagement with contractors and overseas staff
20. Sending monthly outstanding audits report to contracts executives
21. Produce a bimonthly column for the contract’s supplier newsletter
Suppliers
22. Support suppliers in understanding safety expectations and processes through introductory and ongoing calls.
23. Encourage a strong safety culture and clear, positive communication
Reporting
24. Attend weekly team meeting and provide overview of current high-risk issues/ overdue audits
25. Taking notes and action points from weekly team meeting
26. Provide quality team with yearly orders for safety stock
General
27. Contribute to an open, supportive and collaborative team culture.
28. Work in alignment with Solmar’s values, policies and ways of working.
29. Represent the Safety & Risk function confidently and constructively when engaging with internal and external stakeholders.
30. Any other duties that may be reasonably requested.
31. Some overseas travel may be required at short notice

35. Keen attention to detail with accurate and efficient working practices.
36. Ability to prioritise workload effectively.

38. Team‑oriented, with a willingness to support colleagues.
39. Strong technology and systems skills (Salesforce experience and Pass3/4 an advantage).
40. Valid UK driving licence.
41. Ability to travel when required.
