IFA Senior Administrator
Location: City of London (hybrid and flexible working considered)
Salary: £35,000 – £40,000 per annum (dependent on experience) discretionary bonus

The Role – IFA Senior Administrator
We are seeking an experienced Senior Administrator to support Jaylan and the wider team in all aspects of client servicing. The role is ideal for someone who enjoys working closely with both clients and advisers, ensuring a seamless client experience from meeting preparation through to ongoing support.
Your main focus will be on managing client administration, supporting client reviews, and ensuring all documentation, including Client Financial Record, are up-to-date and compliant. You’ll play a vital part in making sure our clients receive the highest standard of care and support.
Key Responsibilities
Client Servicing & Administration
• Prepare and maintain Client Financial Records, ensuring all client details, objectives, and updates are captured after every meeting.
• Coordinate and produce client review packs, agendas, and relevant paperwork ahead of meetings.
• Support Jaylan and the team by proactively following up on client actions and queries, ensuring all client requests are handled efficiently.
• Manage and progress all Work in Progress (WIP) cases, moving them through to completion and keeping the team updated.
• Chase providers and the SJP Administration Centre for outstanding documents, Letters of Authority, and any ad hoc queries.
• Submit electronic business applications and ensure the end-to-end process runs smoothly using our iBusiness tool.
Team Support & Compliance
• Work closely with the Practice Manager to update the CRM system, generate servicing reports, and keep review lists accurate and up to date.
• Assist with technical meeting preparation, record keeping, and uploading documentation.
• Maintain strict GDPR and compliance standards when handling client information and documents.
• Liaise with SJP technical teams where necessary to resolve client queries.
General Duties
• Proactively support the team during busy periods, prioritising urgent tasks and offering assistance where needed.
• Answer incoming calls and client queries in a professional and friendly manner.
• Contribute to internal projects and business events, including marketing and client communications.
• Attend internal/external training and keep up to date with SJP and industry developments.
What We’re Looking For
• At least 2 years’ experience in a similar administrative or client servicing role within financial services. SJP experience is highly desirable.
• Strong organisational skills and attention to detail.
• Confident using MS Office, CRM systems (ideally Salesforce), and handling client records.
• Positive, adaptable, and able to work well both independently and as part of a team.
• Excellent communication skills and a professional, approachable manner.
