Role Description This is a full-time, fully remote Operations Assistant role. The Operations Assistant will support the delivery of escorted tours, including all supplier coordination right through to final travel documentation. Day-to-day responsibilities include:
- Prepare and distribute rooming lists/manifests etc within agreed deadlines.
- Reconfirm all tour services, including accommodation, transport, entrances and guide services, ensuring accuracy
- Create departure documents using Tigerbay.
- Issue departure documents to clients and tour information packs to tour managers and lecturers.
- Communicate tour amendments and operational updates to clients.
- Manage room and seat allocations/maintain accurate stock control within Tigerbay.
- Process special requests and allocation requirements, ensuring these are actioned efficiently.
- Maintain accurate filing and record-keeping of all tour correspondence and documentation.
- Keep package report up to date to ensure everyone in the Operations team is aware with what is going on.
- Regularly liaise with tour managers and lecturers regarding upcoming tours.
- Conduct hotel and supplier visits when required to support quality assurance and product knowledge.
Salary - £25,000 - £30,000
Qualifications
- Strong interpersonal skills and the ability to build effective relationships with suppliers, and colleagues.
- Proven operations and operations management skills, ideally within travel, hospitality, or a related service environment.
- Sound analytical skills to interpret data, manage allocations, and resolve operational challenges efficiently.
- Clear and professional communication skills, both written and verbal, with strong attention to detail.
- Organizational and time-management abilities, with capacity to handle multiple tasks and deadlines.
- Proficiency with common office software (e.g., MS Office) and comfort using booking or CRM systems.
- Previous experience in travel operations or tour coordination is desirable but not essential.
- Relevant education or training in travel, tourism, business, or a related field is an advantage.
