As a Property Secretary, you will provide comprehensive secretarial and paralegal support to the department, ensuring the smooth running of files and delivering an exceptional standard of client care. This is a key role within the team, supporting the Head of Department and Fee Earners across a wide range of property matters.
🎯 Key Responsibilities
Preparing correspondence and legal documents via audio typing and word processing
Managing client files including daily filing, opening/closing files, and retrieving archived documents
Preparing outgoing mail and ensuring all enclosures are correctly attached
Chasing search results, setting reminders for key dates, and supporting proactive file progression
Acting as a point of contact for clients, solicitors, lenders and third parties
Managing matters from exchange through completion and supporting post‑completion formalities
Assisting with purchase, sale, remortgage and transfer of equity matters
Handling incoming calls professionally and taking accurate messages
Completing general administrative duties to support the smooth running of the team
Assisting with completion statements, billing, accounts queries and postings
Preparing, formatting and editing documents
Undertaking basic legal research for the Head of Department
Supporting additional tasks as required within the department🔍 What We're Looking For
Experience within Residential, Commercial and/or Agricultural Property
Strong organisational and multitasking skills
Excellent communication skills - written and verbal
High attention to detail and commitment to producing quality work
The ability to work independently and as part of a close‑knit team
