We’re recruiting for an efficient Office and Finance Coordinator to come and join our busy team. The successful candidate must have excellent office and finance administration experience and strong IT skills. Please apply by submitting your CV and a covering letter. Initial 12 month contract with 3 month probation period.

£36k dependent on experience.


PURPOSE OF THE ROLE

* The Office & Finance Coordinator supports the smooth and efficient running of a busy television production company office, providing administrative, IT and finance support.
* This is a hands-on role that combines general office coordination with day-to-day financial administration to assist the Head of Finance, helping to ensure that operational and financial processes run efficiently.
* You will act as the first point of contact for office and staff IT enquiries, helping to identify and triage issues and liaising with the Company’s external IT support provider where necessary. Strong technical understanding and confidence in both Mac and PC systems are important, as most staff use Apple Macs. You will also provide cover for other members of the admin team during holidays or periods of absence to ensure the smooth running of the office.
* The role requires strong organisational, administrative and IT skills, attention to detail, and a proactive approach to problem-solving. You should be comfortable multitasking across a range of administrative and finance-related duties in a creative, fast-paced environment.


SCOPE OF ROLE – KEY ACCOUNTABILITIES


Office Administration

* Overseeing general office operation, maintaining an organised, welcoming, and efficient working environment.
* Managing the Office Assistant and delegating tasks to achieve maximum productivity.
* Purchasing office supplies and equipment and maintaining and organising proper stock levels within the office.
* Overseeing office IT including online systems Microsoft Office, Teams, Outlook, Box and Final Draft, as well as internet connections and office phones.
* Acting as first point of support for IT daily, liaising with IT Support and our parent company Fremantle where necessary.
* Managing contracts with suppliers for services such as cleaning, printers, mobile phones, confidential waste etc.
* Onboarding all new starters, providing them with necessary computers, IT software and building information, desk allocation and key cards.
* Coordinate room management for meeting rooms including any equipment or updating of furnishing if needed.
* Managing facilities including recycling, kitchen utilities, as well as aircon and office alarm. Liaising with the building management regularly.
* Organising the company Christmas party and any other events as required, as well as birthday gifts and cards as necessary.
* Oversee updates to the company website and email banners.
* Work with other company EA/PAs to ensure that clients and visitors are greeted professionally, and refreshments are provided as required.
* Coordinating First Aid support, Mental Health First Aid and Fire Marshall training and ensuring compliance with H&S regulations.
* Assisting Production with items such as logging hard drives, updating schedules, managing folders, research and other ad hoc tasks.
* Help organise Work Experience placements, creating schedules and paperwork.


Finance Administration

* Assist in the processing of invoices, payments, and company credit cards.
* Prepare and enter data into the accounting system (Sage X3).
* Help with monthly bank reconciliations.
* Maintain organised digital and physical finance files, ensuring accurate record keeping.
* Liaise with suppliers regarding payments and invoices where required.
* Assist with ad hoc finance projects and reporting tasks as directed by the Head of Finance.


SKILLS, EXPERIENCE AND QUALIFICATIONS


Experience

* Prior experience in office administration or finance support role.
* An excellent understanding of IT and computers both Mac and PC.
* Familiarity with basic accounting processes (e.g. purchase ledger, data entry, reconciliations)
* An interest in the creative industries is desirable.


Skills

* Confident communication skills and a professional, approachable manner.
* Excellent computer and IT skills – with knowledge of MS Office, Word, Box, Final Draft, as well as general IT including working with macs and PCs.
* Good working knowledge of Excel and familiarity with accounting software is preferred but not essential (Red Planet us Sage X3).
* Ability to work collaboratively in a team and discreetly when handling sensitive information and situations.
* Excellent time-management and organisational skills and a knowledge of the best office practice.
* Ability to prioritise workload calmly and effectively.
* Strong attention to detail and accuracy in data entry.
* First Aid training and Fire Marshall training, though training can be arranged.
* Willingness to learn and take on new responsibilities across office and finance functions.

Has the confidence in managing expectations, managing delivery and working to tight deadlines. Where necessary uses the initiative to prioritise and plan activities taking into account all the relevant issues and factors such as deadlines and resources. Ability to assimilate information quickly and take independent action when necessary.


* Flexibility: Adapts and works effectively with a variety of situations, individuals or groups. Able to understand and appreciate different and opposing perspectives on an issue, to adapt an approach as the requirements of a situation change, and to change or easily accept changes in one’s own organisation or job requirements.
