Management Support Assistant – Admin & Clerical Donegall Square, Belfast, BT1 5GS 37 Hours per Week PAY: £14.35 per hour Prime Recruitment Services are seeking an experienced Management Support Assistant to provide high-level administrative and business support within the Office of the Chief Executive, Belfast City Council. This role requires excellent organisational skills, strong communication abilities, and experience supporting senior officers. Role Overview Working within the Chief Executive’s Department, you will provide comprehensive administrative, secretarial, and organisational support. This includes diary management, minute taking, preparing confidential correspondence, and supporting day-to-day operations within the unit. Key Responsibilities Provide administrative and secretarial support to the Chief Executive and Office of the Chief Executive. Manage and supervise any assigned staff, ensuring performance and development. Handle all incoming and outgoing calls, mail, and confidential correspondence. Prepare agendas, take minutes, and service meetings as required. Type letters, reports, and committee documents from handwritten notes or dictation. Organise meetings, room bookings, hospitality, travel, conferences, and accommodation. Maintain and develop filing and record-keeping systems. Manage requisitions, supplies, and petty cash in line with council procedures. Assist with budgetary information. Support continuous improvement and development of unit procedures. Uphold all council policies including equal opportunities, safeguarding, and customer care. Carry out any additional duties as required. Essential Criteria Candidates must demonstrate at least one year’s experience in each of the following areas: Administrative duties, including diary management and organising meetings. Liaising with senior management and professional officers. Servicing meetings, including minute-taking and preparing agendas. Skills Required Strong written and verbal communication skills. Proficiency in Microsoft Office packages (Word, Excel, databases). Ability to prioritise workload and make effective decisions. Team leadership and the ability to support staff. Excellent customer care and confidentiality. Political awareness and professionalism when dealing with elected members and senior staff.
