Job Overview

We are seeking a detail-oriented and organised Finance Assistant to join our finance team. The ideal candidate will support the finance department by performing various administrative and financial tasks, ensuring accurate record-keeping, and assisting in the preparation of financial reports. This role is essential for maintaining the efficiency of our financial operations and contributing to the overall success of the organization.

Responsibilities

Purchase Ledger

* Attach GRN & post P/L invoices to invoice register then pass to relevant department to authorise, then select from invoice pool & post to ledger and same with service testing orders
* Reconcile and file supplier statements
* Reconcile Wassenburg Account with Holland
* Create payment list for supplier payments
* Weekly payment runs + any adhoc
* Save remittances as individual PDF's then email out manually
* Dealing with queries by phone and email
* Post non-stock invoices direct to ledger

Daily Bank

* Maintain AX collection account, entering all transactions and reconciling to DB statements on a daily basis
* Post payments made by NL on our behalf to appropriate place in ledger

Petty Cash

* Maintain petty cash records, posting all transactions to computer accounts system.
* Request additional cash as and when required to ensure sufficient cash is available when required.

Sales Ledger

* E-mailing monthly sales statements.
* Posting BACs payments on a daily basis to AX.
* Reconcile customer accounts, dealing with associated correspondence and phone queries.
* Email daily sales invoices and check they are correct
* Email service invoices out after checking compliance with various customer requirements

Credit Control

* Print Aged Debtors
* Chase debts over 30 days per terms and conditions by phone in first instance followed by letters
* Accounts to be put on stop after all avenues tried

Credit Cards & Expenses

* Forward monthly statements to users
* Check completed forms and receipts for compliance with company expenses policy
* Code the expenses to relevant nominals in AX and re-claim VAT where appropriate evidence is in place

Additional Duties

* Assist the Management Accountant with ad hoc jobs as required.
* Preparation of some monthly journals and posting journals to AX
* Administering fleet, keeping vehicle files, making sure computer list is current, cars are insured and registered for Dart Charge
* Sending P46 car forms online to tax office on changes
* P11D completion
* Admin for drivers when involved in accidents or wanting to take car abroad etc
* Keeping annual driving licence records
* Liaising with CLM (Fleet Manager) re ordering vehicles
* Notifying drivers and Payroll when we get penalty charge notices and, then raising invoices to tie up the payment
* General housekeeping and any other adhoc duties required
* Tracking purchase orders raised to Pentax and invoicing Pentax for commission on sales
* Preparation of balance sheet reconciliations
* Helping track down paperwork and at audit time to satisfy audit sample requests
* Recording service invoices sent out
* Ensuring job sheets sent out with invoices where necessary
* Inputting stock corrections into ERP system
* Perkbox administration
* Tracking Sales of products that generate commission for Sales Managers and allocating sales to relevant Sales Manager and calculating commission owed

Requirements

* Previous experience in a finance-related role is essential.
* Management Accountancy qualifications or part would be advantageous
* Proficiency in financial software is highly desirable.
* Strong attention to detail and accuracy in data entry and record-keeping.
* Excellent organisational skills with the ability to manage multiple tasks effectively.
* Basic understanding of accounting principles and financial reporting.
* Strong communication skills, both written and verbal.
* Ability to work independently as well as collaboratively within a team environment.
