Inpatient Booking Coordinator

University Hospitals Bristol and Weston NHS Foundation Trust (UHBW).

Closing date: 17 May 2026.

We are looking for a Waiting List Coordinator to join our team in Paediatric Cardiology at the Bristol Children's Hospital. The position is part-time (30 hours per week). The successful candidate will arrange and book daycase and procedure dates with families and communicate with clinical members of the team on a daily basis. They will also help with day‑to‑day queries from families and other medical professionals.


Main Duties

* Process inpatient admissions by telephone in line with the PAP, informing patients of any changes or cancellations and re‑booking appointments if required.
* Record, maintain and update admission information on the Trust's Patient Administration System (PAS).
* Register patients onto waiting lists and generate all associated paperwork in adherence with the PAP and Trust Inpatient Booking Procedures.
* Arrange pre‑operative assessment appointments in a timely manner, checking proformas to ensure patients are fit for admission.
* Book patient appointments in line with the PAP and arrange appointment‑related services as and when required (e.g., transport and interpreting services).
* Enter data accurately into computerised databases using all relevant computer systems.
* Check incoming email inboxes daily to stay up to date with departmental and Trust‑wide news and information.


Qualifications and Training

* Educated to GCSE, grade C or above (or equivalent) in English Language and Maths.
* Business and Administration Level 3 NVQ or equivalent experience.


Knowledge and Experience

* Clerical/administrative experience, including filing and/or reception.
* Experience of dealing with the public, both on the phone and in person.
* Previous NHS experience.
* Experience of using a Patient Administration System.


Skills and Abilities

* Effective and polite manner when dealing with people, face to face and on the phone.
* Ability to work under pressure and meet deadlines while maintaining a high standard of accuracy.
* Ability to work effectively in a busy team, adjust to change and motivate others.
* Ability to work independently, using own initiative when required.
* Confidence to handle difficult conversations with patients, relatives and carers.
* Effective organisational skills.
* Good IT skills including Microsoft packages.
* Working knowledge of admission policies and procedures.
