The Role
We’re looking for a highly organised, deadline-focused Admin Assistant to keep our clients operations running seamlessly. You’ll manage purchase and sales orders for key accounts with accuracy and speed, making sure nothing slips, especially around critical month-end deadlines.
This role thrives on clear, fast communication, often by phone to get answers, solve issues, and keep orders moving without delay. You’ll be the vital link between sales, customers, suppliers, and internal teams, ensuring the order-to-delivery process stays on track in a busy, fast-paced environment.
Key Responsibilities
1. Manage purchase and sales orders with a high level of accuracy and attention to detail
2. Coordinate deliveries and stock movements, liaising with Transport teams and Cold stores
3. Raise invoices promptly and complete month-end processing to strict deadlines
4. Process credit notes accurately and efficiently
5. Credit Control, including sending statements and chasing overdue invoices.
6. Communicate proactively via phone and email to resolve queries and prevent delays
7. Provide organised operational and administrative support to the Managing Director
8. Identify opportunities to improve operational and administrative processes
9. Manage shared mailboxes and ensure timely, professional responses
10. Provide general business, sales, and operational support as required
Skills & Attributes
* Highly organised with exceptional attention to detail
* Strong problem-solving skills and the ability to work calmly under pressure
* Confident and professional communicator, particularly on the phone
* Strong written communication and attention to detail.
* Able to manage multiple priorities in a fast-paced environment
* Proficient in Microsoft Office (Excel, Word, Teams, Outlook) with good numerical skills.
* Minimum of 12 months’ experience in an administrative, operations, or support role
* Tenacious and resilient individual and team player who is capable of building strong relationships with customers and suppliers.
* Reliable team player with a proactive, positive, and “can-do” attitude
* Full UK Driving Licence
Hours & Benefits:
* 8am to 4pm with 30 minutes lunch
* Salary: £28-30k per year depending on experience
* Hybrid working – 4 days office based (Following successful 90 day probation and up to date with training)
* Medical Benefit (Following successful 90 day probation)
* 28 Days Holiday plus Bank Holidays
