Job Description

To ensure accurate communication with relevant staff and provide support to patients, carers, and staff as appropriate. Act as a supportive team member at all times, including:

1. Working collaboratively to complete daily administrative tasks efficiently.
2. Processing inward and outward transfer of records and liaising with other Trusts regarding records.
3. Handling discharge summary letters and ensuring they are sent to the correct professionals.
4. Accurately filing information.
5. Answering incoming calls and dealing with enquiries proactively.
6. Managing correspondence and information received by the service in conjunction with other staff.
7. Scanning relevant documentation such as patient notes, timetables, site information, and notices.
8. Monitoring stationery supplies and supporting in ordering stock and goods.
9. Liaising with GPs, patients, and other stakeholders.
10. Performing general administrative duties as required.

Additional information:

* Encouragement to be vaccinated against COVID-19.
* Communication of interview arrangements via email; regular checking of email is advised.
* Staff recruited from outside NHS may be appointed at the bottom of the pay band.
* All new appointments (excluding Medical & Dental roles) are subject to a 26-week probation period.
* Support for armed forces community employment.
* Applications from sponsored international candidates are welcome.
* Role may require a full UK driving licence and access to a car unless disabled as per the Equality Act 2010.
* Consent for NHS service verification via Electronic Staff Record if appointed.


Qualifications and Experience

* Educated to GCSE level or equivalent.
* NVQ Level 3 in Business/Administration or equivalent knowledge and experience.
* Proficiency in English (spoken and written).
* Experience with Microsoft Office Suite: Word, Excel, PowerPoint.


Desirable Criteria

* ECDL certification.
* IT literacy.

* Experience working in a team.
* Motivation to enhance knowledge and service delivery.
* Ability to handle non-routine activities safely and appropriately.
* Experience managing financial resources.
* Problem-solving and progress tracking skills.
* Awareness of health, safety, and risk management.


Additional Desirable Skills

* Knowledge of NHS operations.
* Understanding of a medical environment with patients.
* Experience with web-based systems and SystmOne Electronic Patient Records.
* Effective communication skills, especially with patients with understanding difficulties.
* Strong written and verbal communication skills.
* Experience in minute taking, formatting, and distributing meeting materials.
* Organizational skills.
* Experience dealing with the general public and customer-focused environments.
* Willingness to develop IT skills and expand the role.
* Awareness of child protection policies and procedures.
* Ability to recognize urgent patient assessment needs.
